    Job Description

DEVELOPMENT AND ADMINISTRATION ASSISTANT, School of Architecture and Planning (SA+P), to perform complex duties in support of the school’s fundraising efforts and provide general office support in the Dean’s Office. Will support ongoing efforts of the Dean’s Office development team to advance the priorities of the school, grow SA+P’s revenue stream, and engage/steward donors and prospects. Responsibilities include assisting with prospect identification, management, and research; maintaining/tracking correspondence, donor files, and senior leadership meetings/travel/events; assisting with meetings, e.g., agendas, materials, note taking, follow-up actions, etc.; assisting stewardship functions by gathering student/faculty/other beneficiary statements; coordinating gift acknowledgment process; assisting with organizing and staffing donor visits; managing award process and reimbursements for student prizes; reconciling development-related expenses; calendar management; and coordinating travel. Will also support the general operation of the Dean’s Office by scheduling meetings with stakeholders and orchestrating events, e.g., managing media and audio-visual needs, organizing meeting spaces, setup/cleanup, etc.; drafting, editing, and formatting correspondence/presentations; coordinating general office organization, including ordering supplies, vendor coordination, updating shared documents, handling mail, etc.; acting as backup on financial transactions; collaborating with the dean’s executive assistant to greet visitors and respond to in-person inquiries; and performing additional tasks as assigned.

Job Requirements

REQUIRED: high school diploma or its equivalent; three years’ administrative, office, or related experience; excellent organizational, customer service, and written and oral communication skills; ability to manage projects, solve problems, juggle multiple priorities, and work as part of a cohesive team; scrupulous attention to detail; advanced-level computer proficiency with Microsoft Office, Zoom, Dropbox, and database management software; ability to discover and learn new software applications; and interest in higher education and the development profession.
