American Homes 4 Rent Senior Licensing Compliance Coordinator in Calabasas, California

The Senior Licensing Compliance Coordinator is responsible for assisting with the development, maintenance, and execution of department processes and procedures to ensure company compliance with local jurisdiction licensing codes and ordinances related to Residential Property Management, Rental Registrations, Rental Inspections, and New Construction/Development activity. This position interacts with various external business entities such as City, Village, County, and Assessor personnel and coordinates activity across several internal departments to ensure compliance in over 1,300 jurisdictions for over 60,000 single family residential rental homes and offices operating as multiple legal entities.

Responsibilities:

  • Manages a portfolio with complex business and rental licensing requirements to ensure legal compliance, including research to identify, maintain, and update property jurisdiction locales and relevant ordinances; documents jurisdiction requirements, recommends process updates, creates, and renews owner, rental, and property management business licenses, rental and occupancy registrations, and rental inspections applications. Gathers data from accounting or other records to calculate fees, create payment support, and process invoices for Owner, Property Management, and General Contractor entities. Creates packages to include tenant information, leases, and other information as required for jurisdiction compliance. Maintains license status, local requirements, and other records using a custom licensing database and workflow.

  • Manages the Rental Inspection process where required. Coordinates with various stakeholders (Resident and Property Management, In House Maintenance Scheduling, Home Maintenance Services, Accounts Payable, Jurisdiction Inspector, and Jurisdiction administrators to ensure progress until the property inspection is “Passed”, all payments are processed, and Certificate of Occupancy is issued. Coordinates and hosts conference calls with local teams to document inspection updates.

  • Audits and produces exception reports to ensure accuracy of information in CRM, Yardi and SharePoint databases. Contributes to managing the development of the CRM Licensing Module by troubleshooting technical issues, configuring system requirements, and discussing department needs. Creates and reviews internal reports used to assign staffing workload. Responds to business licensing questions, assists with training, developing, and reviewing team members work.

Requirements:

  • Bachelor’s Degree in Accounting, Business Management, Business Administration, Data, Math, or a related field required

  • Minimum of three (3) years of experience in Compliance, Accounting, Real Estate Management, Property Management, or similar field required

  • Minimum of one (1) year of experience completing research and analysis preferred.

  • Notary license preferred

  • Subject matter expertise in Business Licensing preferred

  • Critical thinker and detail oriented

  • Excellent organizational and time management skills; able to prioritize tasks to meet multiple deadlines

  • Strong written and verbal communication skills

  • Effective leader and team member

  • Gains the confidence and trust of others through honesty, integrity, and authenticity

  • Working knowledge of SharePoint, Yardi Voyager and CRM Dynamics preferred.

  • Working knowledge of Microsoft Office (Word, Excel, Outlook) required.

For positions that are permitted or required to work remotely, employees may conduct work only within the United States and only in states where the Company is already conducting business, unless for brief periods, consistent with Company policy.

In the states of Colorado, California, Washington, and Illinois; the anticipated pay range/scale for this position is $27.59 to $37.18. Actual starting base pay within this range will depend on factors including geographic location, education, training, skills, and relevant experience.

Employees also have the opportunity to participate in medical, dental and vision insurance; flexible spending accounts and/or health savings accounts; dependent savings accounts; 401(k) with company matching contributions; employee stock purchase plan; and, a tuition reimbursement program. The Company provides 9 paid holidays per year and, upon hire, new employees will accrue paid time off (PTO) at a rate of 0.0577 hours of PTO per hour worked, up to a maximum of 120 hours per year.
