Posting Summary

The Special Assistant to the Executive Director of University Housing and Dining Services ( UHDS ) provides high-level administrative and strategic support, ensuring efficient management of the Executive Director’s office and enhancing the effectiveness of UHDS . This role oversees scheduling, prepares briefing materials, manages communications, and coordinates internal and external stakeholders. The Special Assistant handles sensitive information, supports department-wide planning, and facilitates key events and strategic initiatives.

Minimum Qualifications (or equivalent combination of education and experience)

  • Bachelor’s degree in a relevant field and three to five years of related or specialized experience are required.

  • Demonstrated resourcefulness, flexibility, sensitivity, and a strong attention to detail in a fast-paced, complex environment.

  • Effective administrative, organizational, and time management skills, with a proven ability to manage multiple tasks simultaneously and meet deadlines.

  • Strong written and verbal communication skills, with an emphasis on clarity, professionalism, and responsiveness.

  • Ability to maintain composure and provide executive-level support in high-pressure situations.

  • Demonstrated commitment to diversity, social justice, and fostering an inclusive and collaborative environment.

  • Proficiency in Microsoft productivity tools, including Outlook, Word, Excel, PowerPoint, and Teams, with a demonstrated ability to learn and adapt to new software applications (e.g., Drupal, Adobe Acrobat, Slate).

  • Knowledge of marketing principles, including research, publicity, promotions, media production, and materials development.

  • Strong technology skills, with experience in web and graphic design, ensuring effective use of digital platforms and media.

    Desirable Qualifications

    Anticipated Pay Range 25.00-28.00/hour (approx. 48,750-54,600/year)

    Other Information

As university housing is not strictly an 8:30 AM – 5:00 PM role, crises may arise during off-hours, weekends, holidays, or evenings, requiring this role to be on-site and working closely with the Executive Director to mobilize the necessary resources to address urgent situations.

This is a fast-paced, often chaotic environment, supporting a senior-level executive with competing demands and high-stakes responsibilities.
