       BURLINGTON COMMUNITY SCHOOL DISTRICTPOSITION DESCRIPTION AND SPECIFICATIONS Position Title: Building and Grounds Secretary FLSA Status: Non-exempt Reports to: Supervisor of Buildings and Grounds Hours: 8.0 Days: 261

QUALIFICATIONS Requires the following (or equivalent qualifications):

  • Ability to learn and develop competency in new technology/software such as School Dude-Maintenance Direct work order software, JCI P2000 Security software, and Time Clock Manager, Applitrack, and Aesop (human resource applications).

  • Ability to use a personal computer, specifically Microsoft Office applications Word, Excel, and Access.

  • Initiative, ability and motivation for continued self-improvement and to remain current in job assignments and technology.

  • Manage, prioritize, and complete multiple tasks with proficiency and timeliness.

  • Ability to learn and develop JCI Metasys HVAC software to assist craft personnel in the field by trouble shooting HVAC and door/gate control.

    POSITION PURPOSE To perform secretarial functions and related activities for the Supervisor of Buildings and Grounds in an effective and efficient manner. PERFORMANCE ACCOUNTABILITIES

  • Maintain strict confidentiality.

  • Process Time Clock Manager daily transactions.

  • Receive Central Warehouse deliveries.

  • Maintain and track maintenance work and haul orders with School Dude, Maintenance Direct software. Assign permission levels for requesters and site administrators.

  • Two-way radio communications with maintenance staff.

  • ROC (Remote Operations Center) alarm monitoring notifications and updates, managing password and user permission levels.

  • Assist with: preparation of performance review forms, recruitment, pre-employment requirements, interview process and reference checks, and new employee orientation.

  • Schedule and reschedule substitute custodial staff for all shifts and all buildings.

  • Schedule gym rental at JMEC facility through the school year. Coordinating building rentals with the Business Department as well as other facilities.

  • Solid communication skills working with other departments outside of your building assignment.

  • Effectively respond to phone/email inquiries with timeliness, greeting all visitors to the department.

  • Johnson Controls P2000 security software, maintain electronic records, take and issue photo ID access cards/FOBs, generate reports, evaluate daily invalid card usage and report to supervisor.

  • Scheduling and notifying maintenance crew of semi-annual and annual service in all trades.

  • Maintain and update emergency contact phone lists for Burlington Fire Department, Burlington Police Department, and ROC alarm monitoring.

  • Record, issue, and collect keys/access cards/FOBs to staff, vendors, and contractors.

  • Compile and report procurement credit card charges of purchases made by craft people and submit weekly report to the Business Office.

  • Submit on-line with the State of Iowa tax exempt letters for construction projects, maintain file with attention to detail. Communication with general contract.

  • Perform other duties as assigned.

    PHYSICAL, MENTAL, AND VISUAL EFFORT Continuous sitting, speaking, hearing and visual effort. Frequent reaching, handling, fine manipulation and repetitive hand motions. Occasional lifting and carrying up to 40 pounds and pushing and pulling up 50 pounds. Close mental and visual attention. Work involves some irregularities and difficulties, repetitive and varied tasks. Continuous general concentration. WORKING CONDITIONS Work is primarily performed in an office setting. Occasionally exposed to noise, dust, odors, and other irritants. Stress associated with work place and deadlines.
