What you need to know
TTI is a Texas based agency. This position has the flexibility of a hybrid remote option with two days in a TTI Texas based office. This can be discussed further during the interview process.
The salary range for position is commensurate. Final salary will be determined based on the applicant's qualifications and experience.
Job Summary:
The Inventory & Property Control Coordinator II, under supervision, conducts the maintenance of inventory and property records and the policies governing inventory and property control. This position also serves as point of contact for the maintenance of insurance policies. Continued employment in this position is contingent upon availability of funding and satisfactory performance.
Essential Duties:
Property Management (50%)
Performs data entry and helps ensure accuracy of information in the inventory databases. Updates and implements changes to the information as needed.
Ensures proper documentation is processed and retained for capital and controlled assets.
Reviews inventory records for compliance with Federal, State, and Texas A&M University System (TAMUS) guidelines governing property, equipment, inventory, and related activities.
Updates inventory records and prepares associated and applicable reports in compliance with regulations.
Schedules and performs audits on departmental inventories.
Ensures the completion of annual inventory certifications for capital and controlled assets.
Ensures the use of the barcode system and barcode label printing and distribution for all assets.
Works with other Financial Services (FNS) employees to ensure leased assets are documented and updated accurately and timely.
Performs reconciliation of capital and controlled vouchers with purchase invoices to ensure assets are approved on inventory in a timely manner. Examines capital and controlled vouchers to ensure correct entry of object codes and general ledger accounts. Submits corrections as needed to correct object codes and general ledger accounts.
Confers with staff on program issues and problems. Provides recommendation of program guidelines to Financial Services management. Interprets policies, rules, and regulations and ensures they are followed.
Assists with preparation of Annual Financial Report (AFR) Note 2 and completion of Capital Asset Note Submission System (CANSS) reporting.
Conducts property training for new property officers and departmental staff. Assists with the preparation and updating of training materials as needed.
Provides recommendation for updates to procedure manuals and online documentation. Attends training and workshops as required.
Records property updates for missing, stolen, damaged, and destroyed assets.
Records and reconciles CIP and fabrication of equipment data entry and assets. Ensures the correct coding of the vouchers used for these projects. Works with various staff to ensure accuracy of the information.
Reviews and updates all assets purchased with Texas Department of Transportation (TxDOT) funds. Corresponds with TxDOT Property Manager and various other TxDOT divisions to provide asset information as requested in a timely manner.
Insurance Management (34%)
Reviews and updates the annual and temporary insurance policies for auto, commercial trailers, inland marine, autonomous vehicles, crime renewal, directors and officers, drones, fine arts, property and building values, as well as other smaller policies as needed.
Conducts the entry and maintenance of information in the Origami insurance database, which includes additions, deletions, and changes to asset information, as well as the review and submission of incidents and claims.
Coordinates with other divisions to ensure information provided for the insurance policies is accurate and ensures insurance policy invoices are paid in a timely manner.
Provides certification of insurance coverage as needed to all divisions.
Vehicle Inventory (15%)
- Ensures original titles for vehicles and equipment are kept safely. Works with other TTI divisions to complete vehicle and equipment registrations. Processes documentation, including original titles, affidavits and additional information for Crash Car inventory. Works with the Texas Department of Motor Vehicles (DMV) on processing nonrepairable title applications. Maintains the Crash Car inventory log. Signs and mails titles to buyers after a sale.

Required Education and Experience:
Bachelor’s degree or an equivalent combination of education and experience.
Two years related experience
Knowledge, Skills, & Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Knowledge of governmental and higher education operations.
Ability to multitask and work cooperatively with others.
Excellent verbal and written communication skills.
Good customer service skills.
Preferred Experience:
Five or more years Texas A&M System member experience
Annual Financial Reporting experience
Preferred Requirements:
- Professional Property Specialist Certification.
Physical Requirements:
Ability to perform common office functions.
Ability to frequently communicate with other individuals within the workplace.
Ability to operate a computer and other office productivity machinery.
