Medical Mutual of Ohio Senior Executive Assistant in Brooklyn, Ohio

Working under limited supervision, provides administrative support to assigned Executive Vice President and as needed, his/her senior management staff, exercising professionalism and confidentiality. Interacts with various levels of internal and external contacts via e-mail, phone, in person or web conference. Manages calendars, coordinates meeting logistics, drafts correspondence, generates reports, prepares orders and requests, and participates in projects on behalf of assigned Division.

Responsibilities

  • Manages assigned EVP’s and departmental calendars and appointment scheduling. Fields and redirects phone calls, visitors and e-mails from internal and external sources.

  • Coordinates meeting and event logistics, including facilities, equipment, invitations, catering and travel arrangements.

  • Drafts and distributes correspondence and communications to employees, management, vendors, etc.

  • Facilitates data collection; researches and organizes information and creates and generates reports, analyses, and presentations.

  • Prepares and manages supply/purchase orders, expense reports, and system access/facilities requests.

  • Manages and/or participates in projects on behalf of assigned Division and/or the Company (e.g. department moves, records retention, volunteerism, contests, events, etc.)

  • Provides back-up support of other EVPs and CEO as needed.

  • Performs other duties as assigned.

Qualifications

Education and Experience

  • Associate’s Degree in Business Administration or related field or equivalent post high school vocational and/or formal training program for administrative assistant/office management.

  • 5 years as an Executive Assistant, preferably in a financial services or healthcare environment.

Certification(s)

  • Certified Administrative Professional or related certification strongly preferred.

Technical Skills and Knowledge

  • Knowledge of expense account preparation, budget reporting, making travel arrangements, and managing executive schedule.

  • Knowledge of executive office protocols regarding confidentiality and interacting with high level officials, customers and board members.

  • Knowledge of standard office practices and equipment such as multi-function copier/printer, teleconference, etc.

  • Advanced Microsoft Office skills including Word, Excel and Outlook.Intermediate to advanced database reporting and PowerPoint presentation skills.
