Job Summary The Executive Assistant & Office Manager provides high-level administrative support to the executive team, ensuring smooth daily operations within the corporate office. This role requires a proactive, detail-oriented individual with strong organizational skills, capable of managing executive schedules, coordinating meetings, handling confidential information, and overseeing office functions. This person will act as a key point of contact for both internal and external stakeholders, ensuring a well-run office environment that supports overall company goals. Key Responsibilities Executive Support: Calendar Management: Manage complex calendars, prioritize appointments, and coordinate schedules for the executive team. Meeting Coordination: Plan, schedule, and organize executive meetings, including preparing agendas, coordinating logistics, and taking minutes when necessary. Travel Arrangements: Book travel accommodations, create itineraries, and handle all travel logistics for the executive team. Communication Management: Screen and manage phone calls, emails, and correspondence for executives, ensuring timely responses and follow-ups. Serve as a point of contact for internal and external stakeholders, handling inquiries and building positive relationships. Document Preparation: Draft, edit, and proofread documents, presentations, and reports for executive review. Expense Reports: Prepare and submit expense reports, track reimbursements, and maintain accurate records of transactions. Travel: Up to 10% travel Office Management: Office Supplies & Equipment: Oversee inventory and ordering of office supplies, ensuring the office is stocked and equipment is well-maintained. Vendor Management: Coordinate with vendors for office supplies, services, and maintenance to ensure a smooth office environment. Facilities Coordination: Manage facilities requests and handle repairs and maintenance issues promptly.
