Compensation: $50,000

POSITION SUMMARY: The Administrative and Database Support Specialist at CIRI is a crucial role that provides high-level administrative support to the CEO while also assisting with database operations for the Manager of Donor and Board Engagement. This individual will spend half their time managing the day-to-day administrative tasks for the CEO, including scheduling, correspondence, and meeting coordination. The other half of their time will be dedicated to supporting the organizations donor database operations, ensuring accurate data entry, report generation, and assisting with donor stewardship activities. This dual role is essential for the smooth operation of CIRIs leadership and development functions.

Job Responsibilities:

Administrative Support for CEO:

  • Manage the CEOs calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and coordinate correspondence, reports, and presentations for the CEO.
  • Assist in organizing and preparing for Board meetings, including assembling materials and taking minutes.
  • Handle confidential information with discretion and professionalism.
  • Coordinate and manage communication between the CEO and internal/external stakeholders.
  • Maintain and organize the CEOs files, documents, and records.
  • Assist with special projects as directed by the CEO.

Database Support for the Manager of Donor and Board Engagement:

  • Assist with the management and maintenance of the donor database, ensuring accurate and up-to-date records.
  • Perform data entry, data cleaning, and data extraction tasks to support fundraising and stewardship efforts.
  • Generate and distribute donor reports, mailing lists, and other database queries as needed.
  • Support the development team in tracking and documenting donor interactions and engagement activities.
  • Assist with the preparation and distribution of donor acknowledgment letters and other communications.
  • Provide general administrative support to the Manager of Donor and Board Engagement, including scheduling, filing, and project coordination.
  • Ensure compliance with data protection regulations and best practices in database management.

QUALIFICATIONS

  • Bachelors degree or equivalent work experience.
  • 3+ years of experience in executive suppo t and/or database management, preferably in a nonprofit setting.
  • Excellent communication, organizational, and prioritization skills.
  • Ability to handle sensitive information with discretion and professionalism
  • Strong attention to detail and exceptional organizational skills.
