Position Details

General Statement

The Office of Admissions is responsible for marketing, recruitment, and orientation of new undergraduate students and the maintenance and processing of their records. The office is responsible for upholding Board of Regents and University requirements, policies, and procedures regarding applications for admission, residency, acceptance of transfer credit, and other issues related to enrollment. Responsibilities of this position include all facets of marketing and recruitment for traditional and non-traditional age students including strategy determination, project ideation, interviewing, travel, and written and telephone communications. Extensive travel, and occasional non-traditional hours (outside of 8:00am – 5:00pm) is required to establish and maintain contact with prospective freshman, and transfer, and non-traditional aged students, and their families.

Duties and Responsibilities

Under general supervision of the Associate Director of Admissions – Recruitment, the person in this position will:

  • Recruit and provide information to prospective students.

  • Develop and maintain positive relationships with high school counselors, community college personnel, community agencies, college/university faculty, and a wide variety of campus offices.

  • Research programs at other schools to develop improved methods of attracting, recruiting, and yielding prospective and applied students.

  • Coordinate the preparation and distribution of print materials and electronic media.

  • Represent Montana State University at recruitment events, including, but not limited to high school visits, college fairs, and informational webinars.

  • Transport display materials and publications to various locations on and off-campus.

  • Perform related duties as required.

The ideal candidate must have a desire to become a part of a successful and energetic recruitment program, be both a self-starter, and goal-oriented, be able to organize time, tasks, and record-keeping systems, and demonstrate strong interpersonal and both written and verbal communication skills. The incumbent will participate in the overall development of the annual marketing plan and assist with the specific projects and duties assigned.

Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor’s degree or extensive post-secondary education without Bachelor’s degree plus applicable experience working with college students and programs or activities can be substituted.

  • Demonstrated experience effectively coordinating/organizing/prioritizing detailed work and meeting deadlines under minimal supervision while maintaining a positive, effective, and professional approach.

  • Demonstrated experience developing and composing print materials and electronic media.

  • Demonstrated experience developing and maintaining detailed, accurate record-keeping systems (for the follow-up to prospective/applied students and travel expenses).

  • Demonstrated experience with academic and extracurricular programs and activities.

  • Montana State University Bachelor’s degree.

  • Experience with college/university student recruitment efforts.

  • Experience working on a professional level with high school teachers, counselors, and faculty.

  • Demonstrated ability to establish and maintain effective working relationships with an extremely wide range of individuals and stakeholders.

  • Experience leading and/or coordinating activities with student groups/organizations.

  • Ability to communicate effectively with employees and the public in person, virtually, in written correspondence and over the phone.

  • Demonstrated excellent verbal and written communication and customer service skills, including effectiveness with large group presentations, small group discussion facilitation leading, and one-on-one conversations.

  • Ability to establish and maintain effective working relations with co-workers and the public.

  • Ability to represent the Office of Admissions and its programs, both on campus and off, to others in a professional and courteous manner.

  • Knowledge of and demonstrated ability to accurately following administrative policies, requirements, and procedures.

    Position Special Requirements/Additional Information

    This position is overtime eligible and any qualifying, supervisor-approved hours worked beyond the workday will be compensated accordingly (some projects will require overtime).

  • In accordance with MSU policy, hiring will be conditional upon successful completion of a pre-employment background check.

  • Must possess a valid driver’s license, an acceptable driving record, and meet all State of Montana requirements to operate State/University vehicles. (If successful candidate possesses a valid out-of-state driver’s license, must obtain a valid Montana driver’s license within 60 days of hire.)

  • Must have or be eligible to obtain a major credit card. Copy of driver’s license will be required upon hire.

  • Must be able to transport, move, or position items weighing up to 50 lbs.

  • Willingness to travel extensively throughout the year by both airline and automobile. The typical heavy travel season is September through January, and March through mid-May.

  • Willingness to work nights, weekends, or other non-traditional work schedules as necessary. Recruitment related travel will consist of 20-25 weeks per year.
