Administrative Assistant - Schmidthorst College of Business - Associate Dean Support Bowling Green State University Salary: $18.94 - $20.69 Hourly Job Type: Full-Time Division: Dean of Business Opening Date: 12/16/2024 Location: Main Campus (BG), OH Job Number: BGSU00650 Department: Dean of Business Closing: Continuous Summary Position Summary A valuable member of the team who provides high level administrative support to the Associate Deans of the Schmidthorst College of Business, and general college support tasks. Responsible for the day-to-day support of the Associate Deans of the College. Assists with activities such as ranking survey data collection and entry, support summarizing data for accreditation report writing, maintains enrollment and student success data, supports curriculum modification and program proposal writing as needed, supports external communication for associate deans, and other administrative activities as needed. Serves as the liaison between the associate deans and other units on campus, companies, and alumni. Essential Functions • Responsible for the day-to-day supports for the Associate Deans. Develops and implements policies and procedures related to the associate deans' portfolios administrative operations. • Assists the Associate Deans in administrative duties. • Assists the Associate Deans in developing College level master course schedules for reference and event planning. Coordinates with Graduate Program office on graduate classes and graduate program events. • Pays bills, uses FalconPurch for ordering supplies for associate dean use, assists associate deans with expense reports. • Assists associate deans with staff or chair search committees as requested. Completes required forms and follows university processes, places ads, arranges lodging, transportation, interviews, and presentations for prospective staff members. Ensures compliance with university hiring and affirmative action policies. Tracks and forwards for reimbursement costs associated with searches. Coordinates the hiring and onboarding of new College staff. • Enters AACSB and ranking survey information each year from data provided from institutional research and other sources. Communicates with associate deans and dean on the needs for the surveys. • Supports the associate deans with administrative support for AACSB accreditation. • Schedules meetings, appointments, and records minutes of meetings, including the UCLAC and GAC meetings and those of the young alumni board. • Supports college communications through maintenance of listprocs, shared drives, faculty/staff directories, and building displays • Greets visitors, answers telephones, and provides general information. Receives and routes mail for associate deans. • Plans and organizes events, conferences and gatherings as needed by associate deans and the college. • Does training and stays current on all university information systems that are required for use in the position.
