About the Role

Administrative assistant duties and responsibilities include providing support to ensure efficient operation of the office. Support the HSE team, managers, and employees through a variety of tasks related to organization and communication. Administrative assistants are responsible for strict confidentiality and time sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.

Ability to effectively communicate via phone and email, ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.

Your Responsibilities

  • Follows and supports and Magna’s operating principles, including:

  • Input data into the company software for team members training, incidents, accidents OHSA recordables, FMLA and all other necessary documentation.

  • Answering the telephone and greeting guests in the nursing reception lobby area.

  • Perform all daily administrative activities of the department including filing, typing, photocopying, faxes, payroll, phone/radio repairs, etc.

  • Maintains the files, statistical reports, and records of the department.

  • Organizational abilities necessary to effectively schedule appointments and meetings; prepare for meetings; make travel arrangements and reservations; receive visitors and route email as required.

  • Follows and adheres to requirements of current customer quality and environmental management systems standards.

  • Know and understand Bowling Green Metalforming Quality and Environmental policies.

  • Create OSHA documents to be posted.

  • Perform other duties as required.

Who we are looking for

These qualifications represent the minimum requirements of the position. Team members will be required to possess the ability and aptitudes to perform the duties proficiently.

Education and/or Experience:

  • High School diploma or GED

  • Post-secondary education preferred or equivalent work-related experience in a related administrative position.

Knowledge, Skills and Abilities:

  • Intermediate to Advanced computer skills; proficient in Microsoft Word, power point, and Excel required.

  • Working knowledge of HR Compliance guidelines especially those supporting health, safety and environmental along with and leave administration.

  • Minimum of 1-year experience in a manufacturing environment preferred.

  • Strong attention to details

  • Ability to operate standard office equipment required.

  • Ability to deal with difficult people.

  • Ability to be innovative in communication with people that English is not their primary language.
