The Office of Information Technology encourages applications for an HR Generalist! The HR Generalist provides professional and technical guidance to the continuing, temporary and student staff in OIT, under the oversight of the Assistant Director of HR. Including complete management of HR for student and temporary employees, HR operations for all OIT employees, including onboarding, offboarding, leave and payroll management. This position also participates in HR strategic continuous improvement projects and provides professional support to the AD. What Your Key Responsibilities Will Be

Management of HR functions for OIT Student and Temporary Employees:

  • Position uses a high degree of independent discretion and decision-making to manage all aspects of HR for Student and Temporary Employees, including assisting supervisors in recruitment, hiring, background/reference checks and setting appropriate compensation; drafting offer letters/obtaining signatures; managing new temporary and student employee onboarding; developing other relevant trainings and fact sheets as necessary to orient students/temps to employment with OIT; supervising student work-study and credit hour status to ensure individual is eligible for student employment; managing biweekly payroll, advising on appropriate situations for student/temp terminations; and responding to all OIT manager/staff questions regarding the employment of students and temps.

  • This position, in collaboration with OIT's Engagement Program Manager, will take the lead on student employee recognition and engagement and will assist in carrying out OIT's formal recognition program.

HR Operations and Administration:

  • This position will handle onboarding logistics for incoming employees including ensuring new employees are attending the QuickStart session, communicating pre-start set up activities to new hires and sharing onboarding expectations with hiring managers. This position will also ensure that managers are advised of onboarding standard processes for the first year of each new employee's employment in order to increase retention rates.

  • Position provides backup to the Office Manager/Professional Assistant in scheduling and coordinating candidate interviews including determining appropriate date and time for interviews, communicating and coordinating with the interviewers and candidates, procuring an appropriate location and handling interview logistics.

  • Position uses a high degree of independent discretion and decision-making to interpret and apply Federal and State law, state and university rules and ES payroll procedures in order to ensure all OIT employees use various forms of leave correctly, are afforded the various forms of medical leave (OJI/FML,FAMLI) as appropriate, maintain accurate leave balances and are paid accurately and in a timely manner. Liaise with UCB Human Resources department, University risk Management and Employee services, when necessary.

  • Conducts exit surveys and processes resignations; based on findings, works with the Assistant Director to conceptualize & initiate solutions to improve retention efforts.

  • Attending internal HR meetings with recruitment, employee relations and OIT finance.

  • Oversight of OIT HR transactional functions including new employee onboarding, HCM entry, leave management, payroll processing, employee record-keeping and other administrative HR duties performed by the Campus HR Service Center and family medical leave unit.

  • This position carries out all of the administrative updates regarding the hiring and terminations of student, temporary and full time employees, as well as other pertinent personnel information, based on the OIT Human Resources Guide for Administrative Updates.

Professional support to the Assistant Director of HR and Administration:

  • Being an active member and contributor in OIT HR projects including but not limited to a more robust employee onboarding process, preparation of content for OIT Insiders including comings and goings, and OIT HR Wiki updates.

  • Attending Full HR meetings and other HR related forums and communicating interpretation of state and UCB HR policies, rules and regulations and information about HR standard methodologies, as well as changes to these provisions and practices learned in Full HR meetings to the Assistant Director.

  • Engaging in Continuous Process Improvement by developing and updating OIT HR process checklists and making recommendations regarding internal policies, protocols and procedures and appropriate ways to develop and communicate HR processes, protocol, and policies to staff in an effective and efficient manner for optimum impact.

  • Providing OIT personnel data in custom reports as requested by Assistant Director and OIT Leadership teams.

Professional Development:

  • The HR Generalist participates in job-related professional development to maintain proficiency and acquire new HR knowledge by reading HR journals and websites, attending seminars and conferences, and participating in discussions with colleagues. This role is also responsible for identifying personal and team opportunities for targeted or participatory continuous improvement and knowledge development.

What We Can Offer

  • Salary: $50,000 - $55,200.

  • Bachelor's Degree or equivalent experience from an accredited institution. A combination of education and/or proven experience may substitute for the degree on a year-for-year basis.
