Robert Half Office Services Associate in Boston, Massachusetts

Description We are in the search for an Office Services Associate to join our team in the financial services industry, located in Boston, Massachusetts. As an Office Services Associate, you will be tasked with various responsibilities, including the handling of sensitive and confidential documents, answering and transferring calls, and managing additional projects as assigned. This role offers a short term contract employment opportunity.

Responsibilities:

• Effectively handle and transfer calls on a multi-line phone system.

• Receive and sort mail, maintaining organized and efficient systems.

• Manage assigned projects with efficiency and diligence.

• Responsible for the handling and management of confidential documents and information.

• Communicate effectively with managers and clients regarding job or deadline issues.

• Perform light reception duties as needed, providing excellent customer service.

• Assist with moving chairs and tables, and possibly aiding with catering setup, food, and cleanup.

• Maintain and stock pantries, ensuring a clean and organized workspace.

• Operate digital reprographics and mail equipment proficiently.

• Apply attention to detail and organizational skills to all tasks.

• Experience in banking operation and warehouse management is a plus. Requirements • Proven experience in customer service, demonstrating strong interpersonal and communication skills

• Familiarity with standard office functions and procedures

• Understanding of hiring processes and ability to assist in recruitment activities

• Experience in receptionist duties, including use of multi-line phone systems to answer and transfer calls

• Proficiency in digital tools and platforms, with an emphasis on warehouse management software

• Ability to handle deliveries, catering arrangements, and other logistical tasks

• Excellent written communication skills for clear and concise correspondence

• Knowledge in switchboard operations and ability to manage high volume of incoming calls

• Experience in sorting and distributing incoming mail efficiently

• Familiarity with postal services and procedures

• Ability to handle confidential documents with discretion and professionalism

• Understanding of the perks and benefits in the financial services sector

• Knowledge of banking operations, including but not limited to, transaction processing and account management

• Excellent organizational skills, with the ability to prioritize tasks and manage time effectively
