JOB DESCRIPTION:

SUMMARY OF THE POSITION:

The Occupational Health and Safety Coordinator is responsible for assisting with the daily operations of the Occupational Health and Safety Programs, which supports Pine Street Inn-s (PSI) commitment to ensuring safety and compliance with all applicable laws and regulations. This position will be responsible for assisting with the overall day-to-day management of the occupational health and safety programs. The Occupational Health and Safety Coordinator will also track and approve new hire Tuberculosis (TB) screening, vaccinations, and provide confirmation, in conjunction with the recruitment team, for employee new hire orientation clearance.

Occupational Health and Safety Coordinator will oversee the organizations Narcan inventory, reporting and usage. The coordinator will be responsible for maintaining and reporting the organizations Automatic External Defibrillators (AED) program as well as managing the organizations sharps/biohazard program.

Occupational Health and Safety Coordinator will assist with presenting safety training during the new hire orientation process and other trainings as necessary. This position will be an integral part of the safety committee providing support, information, and training.

The Occupational Health Coordinator will support the Senior Director for Safety in documentation, maintaining records, reporting of injuries and illnesses, workplace injuries and worker compensation claims.

The Occupational Health Coordinator provides a wide variety of high-level and confidential administrative and coordinative support directly to, and on behalf of, Senior Director for Safety and the Safety Department .

REQUIREMENTS:

QUALIFICATIONS:

  • Demonstrated ability to treat confidential or sensitive information appropriately.

  • Experience with Microsoft Office suite (Word, Excel, PowerPoint, Teams) and Outlook and the ability to learn other systems as needed.

  • Experience organizing schedules and projects.

  • Demonstrated ability to proactively prioritize work, identify potential challenges and present solutions.

  • Must demonstrate solid critical thinking skills and the ability to problem solve

  • Ability to build positive relationships with employees, outside sources and supervisory personnel

  • Demonstrated ability to work independently, exercise discretion and mature judgment and manage multiple priorities at once.

  • Ability to partner cross-functionally with other departments.

  • Ability to collect, analyze, interpret, evaluate and summarize data.

    ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

  • Serve as the lead contact and program coordinator for the Occupational Health functions of PSI

  • Receive and manage all contacts to Occupational Health by Phone and Email.

  • Coordinate testing requirements, immunization compliance, and Occupational Health Clearance Status for the workforce of PSI, including pending hires.

  • Data entry and management of occupational health information in designated tracking and data management tools and/or systems

  • Assist in the development, maintenance and processing of Policies and Standard Operating Procedures.

  • Provide guidance to employees and supervisors for protocols in the event of contagious health concerns.

  • Perform administrative tasks and provide administrative coverage in support of project continuity (emails, scheduling, meeting minutes, document/spreadsheet management, etc.)

  • Maintain an inventory or medical supplies & vaccinations, including vaccine expiration dates and quantity, and coordinate ordering these supplies in a timely manner.

  • Receive, review and approve PSI vaccination requirements and manage opt-out or exemption requests.

  • Track employee testing requirements & annual vaccine compliance. Working with the supervisor to issue timely communication with employees who have not submitted the required documentation or are in non-compliance. Initiate disciplinary actions, if needed.

    EDUCATION/TRAINING:

    REQUIRED:

  • High School diploma;

  • Strong interpersonal, verbal & written communication skills

  • Strong organization and time management skills

  • 1-2 years of experience working in a highly sensitive environment

    PREFERRED:

  • Associates degree preferred;

  • Two (2) plus years of project management, safety, security, or administrative experience
