Location: Station Drive, Westwood, MA
The Administrative Associate III will be responsible for:
Providing front facing support in a professional office setting. Accepting and disseminating deliveries from vendors. Sorting and disseminating interoffice and USPS mail. Running daily outgoing mail through postage machine.
Serving as liaison between Shared Service Center (SSC) staff and offsite administration as it relates to hardware issues and acquisition. Serving as liaison support between SSC and building management team.
Providing administrative and billing support to the SSC. This may include working within EPIC (electronic medical record billing system). Including but not limited to project support, such as researching and resolving denied claims, resolving billing edits, and contacting insurance companies to resolve denials.
Following established regulations and procedures in the collection, recording, storage and handling of information. Ensuring required documentation of issues is complete, accurate, timely and legible. Protecting and preserving confidentiality and integrity of all information according to Boston Children’s Hospitals HIPAA confidentiality policy.
Assisting supervisor with special projects and preparation of reports and documents. Collecting and compiling information from diverse sources, performing calculations, creating charts, graphs, and spreadsheets, and performing other related duties as required.
Answering, screening and routing telephone calls and greeting and directing visitors and staff. Providing routine and standardized information within scope of knowledge and authority. Receiving, screening and drafting responses to correspondence.
Monitoring and maintaining office equipment and supply inventory. Reordering standard office supplies according to established guidelines and requesting equipment repair services as needed. Receiving and reconciling supply orders and invoices, identifying and resolving delays, billing errors, or discrepancies. Communicating with support service departments to request needed services.
Additional duties and projects as assigned.
To qualify, you must have:
High School Diploma/GED required.
One year of related experience required. Previous administrative and/or billing experience preferred.
EPIC experience highly preferred.
Attention to detail, good organizational skills, ability to meet priorities within set timeframes, and ability to work as part of a team.
Strong written, verbal, analytical, and communication skills.
Ability to provide effective customer service, which includes the ability to interact professionally and handle sensitive information/issues in a confidential and respectful manner.
An in-depth knowledge and understanding of department and hospital programs, policies, procedures and information as related to functions and services.
Initiative in improving operations within department, and ability to assist in implementing changes.
