Minimum Qualifications

  • Associate degree from accredited educational institution is required; Bachelor's preffered.

  • Four (4) years of work experience in an office environment

  • One (1) year of demonstrated work experience with computer software, including Microsoft Word, Excel, Forms, Teams, and Adobe.

  • Exceptional time management, organizational, and problem-solving skills.

  • Excellent written and oral communication skills to interact with faculty, staff, and current and prospective students.

  • Excellent organizational skills; independent; self-motivated; and able to work in a fast-paced, changing environment

  • Ability to multi-task, work under deadlines, and prioritize projects/work schedule to meet deadlines with high levels of efficiency and accuracy

  • Ability to work flexible day time and limited evening hours in response to program needs is required

  • Valid driver’s license is required.

    PHYSICAL REQUIREMENTS:

  • Must have use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear and handle or feel objects and controls.

  • Must have physical capability to effectively use and operate various items of office equipment such as, but not limited to, personal computer, calculator, copier, and fax machine.

  • Ability to occasionally lift or carry up to 20 pounds.

  • Must be capable of sitting in a stationary position for 50% or more of work day.

Job Concepts

This position is responsible for the administrative coordination for the support and development of programs in the College Transition Programs department.

Examples of Work

  • Provide administrative coordination for the support and development of programs in the division of College Transition Programs

  • Serve as the division’s point of contact for collection and routing of institutional forms or processes such as outside employment forms, driving records, and personnel documentation (e.g., annual professional development).

  • Responsible for maintaining calendar of division

  • Create and maintain comprehensive student records

  • Create and maintain various databases and spreadsheets for networked office use and internal control of CTP accounts

  • Collect and input student data (e.g., assessment scores, attendance hours, credential obtainment, etc.) into the LCTCS WorkReady U Student Information System (SIS)

  • Assist with verification and accuracy of materials submitted for webpages, catalog revisions, course descriptions, program updates, and materials

  • Processes, corrects, and edits complex word processing documents including certificates, schedules, publications,

  • Create contracts using the contract application system.

  • Ensure part-time instructors have access to campus email and performing password resets when needed using the contract application system.

  • Collect graduation list and submit to graduation committee within deadlines in Fall and Spring semesters

  • Assist with recruiting activities both on campus and off campus, if needed.

  • Track inquiries, applicants, and enrollments based on recruitment activities as it relates to the department’s programs

  • Participate in student registration programs and assessments as assigned

  • Plan, prepare, distribute, collect, and compile enrollment and performance data

  • Prepare and submit budget set-up, additions and revisions for all accounts as needed

  • Monitor all restricted and unrestricted accounts for the department

  • Reconcile all accounts with the monthly BPCC accounting budget reports.

  • Prepare purchase requisitions, for division needs including classroom supplies, teaching materials, and verify requisitioned items on budget.

  • Oversee inventory and equipment purchases for the division and items purchased from grants for the division.

  • Prepare check request and budget adjustments as needed.

  • Consult with the Purchasing department and the Finance department as needed

  • Perform monthly assessment of specified department accounts

  • Monitor status of purchase orders and completed requisitions

  • Prepare and submit receiving reports

  • Prepare required documents for receiving discrepancies

  • Participate in professional development activities and campus meetings

  • Make sure messages (phone and email) get delivered in timely manner

  • Assist with mailings, copying, printing, etc.

  • Sort and prioritize incoming mail and fax correspondence

  • Prepare and submit receiving reports

  • Prepare required documents for receiving discrepancies

  • Provide enrollment services to College Transition Programs’ students seeking Workforce Solutions’ services

  • Other duties as assigned by supervisor
