ASM Global Event Manager in Bossier City, Louisiana

Essential Duties and Responsibilities

  • Serves as primary liaison between clients and facility departments. Attends appropriate planning, organization and other event and facility meetings.

  • Determine the event criteria and compose a detailed event document with individual instructions for each department

  • Serve as the lead contact for clients in handling any unexpected changes, requests, and unusual circumstances as they arise

  • Coordinate with Operations: equipment distribution/inventory, room set requirements, and special staffing requirements

  • Plan and coordinate activities with the various service contractors for assigned events

  • Inspect leased event space during move in, move out, and show hours to oversee enforcement of Fire Safety Regulations and proper set up.

  • Guide clients in preparation of events by interpreting and explaining contract provisions, policies, and procedures

  • Work with Finance Department to ensure accuracy of all invoices and billing of expenses for events

  • Creates drawings and diagrams of staging, seating, tables, chairs and other equipment for events

  • Creates A-Z Guides for part-time staff distribution with important information about events for front line staff

  • Schedules and oversees Stagehands for events and reviews labor invoices for accuracy

  • Keeps the client informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set ups, and other relevant event details

  • Work with local law enforcement and EMS to schedule appropriate personnel for events

  • Conduct prospective client tours and help the client visualize the variety of uses on how their event can take place within our venue

  • Maintain an overall philosophy of providing the highest level of customer service possible

  • Communicate in a courteous, cooperative, respectful, timely and professional manner with ASM Global Staff, clients, and subcontractors

  • Assist and Oversee Guest Experience staff as requested

  • Performs other tasks as assigned

Qualifications

Education and/or Experience

Bachelor's degree (BA) in hospitality, business, or related field from a four-year college, university, or equivalent experience on a year for year basis for the degree is preferred.

  • 1 to 2 years of event planning experience and/or training.

  • Working knowledge of the principles of event facility management, services, and equipment.

  • Knowledge of Event Production and Stagehand labor

  • AutoCAD or similar drafting software

  • Knowledge of the Bossier City/Shreveport area including hotels, restaurants, retail, and entertainment, preferred

  • Experience as a supervisor or manager is preferred.

  • Must be able to work flexible schedule to include holidays, weekends, and evening shifts.

  • Professional presentation, appearance, and work ethic.

    Computer Skills

To perform this job successfully, an individual should have knowledge using Microsoft Office 365 (including Excel), AutoCAD, and Draft Sight.
