Idaho Transportation Department is seeking an Administrative Assistant 2 position for our Aeronautics Division located at the Boise Airport. This position is responsible for coordinating flight schedules with all state agencies including the Governor’s office, as the Division of Aeronautics primary flight scheduler. In addition, this position is the lead for coordinating all aspects of the Idaho Aeronautics Advisory Board including scheduling meetings, coordinating board payroll, building and coordinating meeting agendas, coordinating meeting food service, taking and publishing meeting minutes, and advertising all public meeting notices.

Example of Duties:

Primary Flight Scheduler:

  • Coordinates with all state agencies for flight requests including the state agency directors and their staff

  • Coordinates flight cost estimates

  • Agency flight time requirements

  • Coordinates pilot schedules

  • Coordinates contract pilots for governor two-pilot requirements, and ensures flight times and durations meet FAA requirements

  • Generates and coordinates all billing and invoicing to state agencies for flight and pilot costs

    Aeronautics Advisory Board Administrative Assistant:

  • As the division’s lead Idaho Aeronautics Advisory Board administrative assistant

  • Coordinates all meeting times, dates and locations, all board and staff travel requirements

  • Develops all agenda items, coordinates all presentations, and documents and publishes all meeting minutes

    Division Administrative Assistant:

  • Conducts division administrative assistant duties to include coordinating Administrator travel requirements

  • Tracks and maintains division computers

  • Maintains the division’s shared drive

  • Coordinates file retention schedules and maintains the division web and SharePoint pages

    Aircraft Registration:

  • Assists with Idaho aircraft registrations to include mailing annual renewal notices, collecting fees and documenting aircraft registration details in the System of Aircraft Registration software system

  • Assists as backup with division billing invoice payments as required through the Advantage software system

    Minimum Qualifications:

    Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports.

Experience: interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements.
