EXAMPLE OF DUTIES
Assisting with tracking contract payments and other program expenditures.
Assisting with initial grant development, monitoring, and reporting.
Composing business documents applying a good knowledge of effective business English usage, spelling, punctuation, and grammar.
Utilizing public relations and liaison skills to effectively communicate with and coordinate administrative activities with multiple entities.
Ordering and maintaining inventory of publications and marketing materials.
Collaborating with SHIBA team to maintain and update SHIBA’s social media accounts and website.
Submitting purchase orders, obtaining bids, place ordering, and monitoring contracts.
Administering and reviewing internal and external databases to compile and analyze information to create reports.
Providing excellent customer service via telephone and email.
Taking meeting minutes, transcribing, and distributing meeting materials.
Coordinating and planning events, appointments, meetings, webinars conferences, and trainings.
Safeguarding the flow of sensitive and confidential information.
MINIMUM QUALIFICATIONS
Good knowledge of:
Office support functions which include word processing, filing, composing a variety of business documents, and reception.Typically gained by at least one (1) year of full-time work experience performing a variety of office support functions as described; OR successful completion of at least six (6) credits in college-level coursework that included word processing, filing and composing documents; OR successful completion of at least three (3) credits in college-level coursework that included word processing, filing and composing documents AND at least six (6) months of full-time work experience that included responsibilities related to office support functions. When responding to work experience statements, the intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
Gathering and compiling data.Typically gained by at least one (1) year of full-time work experience gathering information from a variety of sources to collect, and compile requested information, which required good knowledge of services, operations, or programs. When responding to work experience statements, the intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
Balancing and coordinating a workload for multiple projects.Typically gained by at least one (1) year of office work experience which required balancing, coordinating, and setting priorities for multiple supervisors. When responding to work experience statements, the intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
DESIRED CANDIDATE ABILITIES (not required) :
Use effective business English, spelling, punctuation, and grammar to compose and edit documents.
Provide excellent customer service and public relations.
Arrange meetings such as, scheduling/coordinating facilities and equipment, notifying participants, preparing agendas, room setup, and arranging for refreshments/luncheons.
Analyze, interpret, and explain complex information and documents.
Use Adobe Pro (or equivalent) to create and edit PDF documents.
Proficiently use Microsoft Office, including Outlook, Microsoft Word, PowerPoint, and Excel.

The selected candidate will be required to successfully pass a fingerprint background check prior to hire date and every five years thereafter.
