Guidehouse Supervisor - Pro-Fee Surgery Coding Department - Remote in BIRMINGHAM, Alabama

The Surgery Coding Department Supervisor will manage and organize all day-to-day activities related to all areas of the Surgery Department including Vascular, Neurology, Urology, General Surgery, ENT, Cardiology, Orthopedics, GI, Oncology, Trauma, Pediatrics, and GYN medical coding functions of the MSO using the most current CPT/ICD/HCPCS manuals. Develops and monitors goals and objectives for established area of responsibility and sets workflow priorities and standards. Implements policies and procedures regarding, interviewing, hiring, evaluating, disciplining, and promoting of staff. Performs special projects and all other duties as requested by associate director.

What You Will Do:

Manages daily workflow for coding/charge entry operations:

  • Monitors daily charges to ensure performance goals are met.

  • Manage back-office Athena TES (transaction editing system) work files

  • Assure appropriate equipment and or resources are available for staff to attain maximum performance levels.

  • Coordinate and work with other departments to resolve coding/charge entry issues

  • Shows understanding in the respective areas of system applications/database design/function.

  • Inspires confidence from staff and management employees

  • Designs operational procedures and processes that meet audit standards and improve efficiency

  • Participates as needed to ensure work is processes

Oversees evaluation of associates’ performance:

  • Clearly defines and communicates employees’ key responsibilities and performance standards at the beginning of each performance period

  • Works directly with supervisors and staff to ensure performance standards are understood

  • Motivates and inspires associates to attain goals and pursue excellence

  • Monitors employee performance frequently enough to provide early detections of performance problems, to allow for positive feedback and to provide a broad sample of employee’ strengths and weakness.

  • Documents observation on an ongoing basis, as necessary preparation for effective performance management.

  • Evaluates performance on agreed review dates

Provide and analyze management reports:

  • Generates productivity summary report(s) for administration

  • Ensures accuracy of data

  • Analyzes and monitors various productivity and QA reports for trends and/or problems and communicates any recommendations for change to Associate Director.

  • Assess monthly productivity report for revisions or updates, as needed, to ensure department process changes are accurately reflected.

  • Manages and supports supervisors in the development, analysis, and preparation of QA and productivity reporting.

Manages personnel within department:

  • Complete human resource paperwork accurately and timely.

  • Manages time and attendance for department (i.e., Kronos)

  • Identify FTE requirements to ensure appropriate staffing levels are maintained.

  • Maintain and create required supporting documentation in regards to disciplinary action taken

  • Provides regular feedback on employee progress as it relates to career goal

  • Ensures that established personnel policies and procedures are followed

Maintains knowledge of current coding changes:

  • Maintains knowledge of current changes and developments.

  • Assist staff to resolve complex or out of policy operation problems

  • Promptly addresses any compliance issues as they arise.

  • Counsels physicians and/or liaison when coding changes and or issues are identified

  • Communicates and or disseminates information to staff in an appropriate manner; accurately and timely.

Maintains open channels of communication:

  • Interprets organizational policies, procedures and administration decisions so mutual understanding is reached at the staff level

  • Informs staff of their key responsibilities and performance standards

  • Organizes and conducts monthly meetings to disseminate information and to obtain input.

  • Participates on various committees, department, and other appropriate meetings related to department and or MSO issues.

  • Informs others as needed in a clear, concise manner; selects the proper mode of communication and includes appropriate parties.

  • Resolves and/or escalates issues in a timely fashion

  • Keeps Associate Director advised of all pertinent issues

What You Will Need:

  • Requires a University Degree and minimum 5 years of prior relevant experience

  • Strong management, organizational, communication and leadership skills are necessary.

  • Previous coding experience is required. Proficient computer skills.

  • Certified Professional Coder (CPC) or a comparable coding certification (e.g., AHIMA CCS-P)

What Would Be Nice to Have:

  • Bachelor’s degree

  • Certified General Surgery Coder (CGSC) Credential

  • Certified Gastro Coder (CGIC) Credential

  • Certified ENT Coder (CENTC) Credential

  • Certified Cardiology Coder (CCC) Credential

Additional Requirements

  • The successful candidate must not be subject to employment restrictions from a former employer (such as a non-compete) that would prevent the candidate from performing the job responsibilities as described.
