Binghamton University seeks a Coordinator for the Print Solutions Department within the Division of Communications and Marketing at Binghamton University, State University of New York to support business efforts in delivering high quality and timely printed material orders to our students, staff, faculty, alumni, and other customers.

Job Description:

The Coordinator will have primary responsibility for the daily administrative and business operations of Print Solutions, including managing incoming orders, communicating with customers on orders, providing quotes, handling billing, chargebacks, deposits, transaction tracking/reporting and reconciliation, maintaining sales records, managing credit card activities and customer service (answering phone calls, responding to emails, assisting walk-in customers and helping with deliveries). In collaboration with the Print Equipment Operator, the Coordinator will determine work priorities; expedite workflow; help order and manage paper and supplies inventory and as needed, assist other Print Solutions staff with print job completion, meeting delivery due dates and deadlines.

Duties and Responsibilities include:

  • Customer service: answer phones, emails, walk-in customer questions, etc.

  • Provide customers with cost estimates

  • In collaboration with supervisor and staff, manage pricing

  • Manage chargebacks and invoicing

  • Create/print/maintain delivery receipts

  • Prepare and make check deposits

  • Process deposit transmittals

  • Maintain appropriate sales records

  • Monitor and manage Print Solutions email for orders/customer communications

  • Receive, review, process, and package printed job orders

  • Create purchase order requisitions and PF workorders, as needed

  • Monitor and inspect printed products for quality (print clarity, color accuracy and conformance to specifications) and ensure print project deadlines are met

  • Complete annual compliance forms

  • As needed, assist with vendor communication

  • Assist with identifying problems with printers/equipment and fix them, when possible

  • Manage student workers, as needed

  • Record and maintain inventory

    Job Requirements:

  • A Bachelor's degree or higher.

  • Strong administrative and customer service skills

  • Knowledge of Microsoft Office Suite and Google Workspace

  • Experience being part of a team environment

  • Ability to perform well under pressure, meet deadlines and manage multiple tasks simultaneously with an attention to detail

  • Valid U.S. driver's license

Preferred:

  • Adobe InDesign and Illustrator skills

  • Marketing experience, familiarity with print environment, using digital printers and peripheral equipment

  • Access or other database skills

  • Understanding of PCI compliance

  • Willingness to learn all parts of editing and production

  • Experience using SUNY Finance and Management System to create purchase order reqs

  • Experience using and editing PDF files in a digital print manufacturing environment Knowledge of the EFI Fiery digital printing solution workflow software
