Kaiser Permanente Senior Manager, HTM Shared Services - Clinical / Service Delivery in Berkeley, California

Job Summary:

Drives the application of strategy for troubleshooting and repairs on medical equipment and software, escalating when necessary. Leads the team to perform inspections, functionality tests, scheduled preventative maintenance, and recall of medical equipment and software. Leads the team to perform installations, updates, and modifications to equipment, ensuring compliance with manufacturers specifications. Leads the team to investigate and document incidents and accidents involving medical equipment or software. Provides recommendations to senior and/or executive leadership on the decommissioning and purchasing of new equipment. vendors to perform repairs and maintenance when necessary. Leads the team to ensure that preventative maintenance is adequately documented, and that the parts inventory for medical devices and software is maintained.

Essential Responsibilities:

  • Creates and advocates for developmental opportunities for others; builds collaborative, cross-functional relationships. Solicits and acts on performance feedback; works with leaders and employees to set goals and provide open feedback and coaching to drive performance improvement. Pursues professional growth; hires, trains, and develops talent for growth opportunities; strategically evaluates talent for succession planning; sets performance management guidelines and expectations across teams / units. Oversees implementation, adapts, and stays up to date with organizational change, challenges, feedback, best practices, processes, and industry trends; shares best practices within and across teams. Fosters open dialogue amongst team members, engages, motivates, and promotes collaboration within and across teams; motivates teams to meet business objectives. Delegates tasks and decisions as appropriate; provides appropriate support, guidance and scope; encourages development and consideration of options in decision making; fosters access to stakeholders.

  • Manages designated units or teams by translating business plans into tactical action items; oversees the completion of work assignments and identifies opportunities for improvement; ensures all policies and procedures are followed; partners with key stakeholders and business leaders to ensure products and/or services meet requirements and expectations while aligning with departmental strategies. Aligns team efforts; builds accountability for and measuring progress in achieving results; assumes responsibility for decision making; fosters direct reports to resolve escalated issues as appropriate. Communicates goals and objectives; incorporates resources, costs, and forecasts into team and unit plans; ensures matrixed resources are fulfilling service or performance requirements across reporting lines. Removes obstacles that impact performance; identifies and addresses improvement opportunities; guides performance and develops contingency plans accordingly; influences teams and units to operate in alignment with operational and business objectives.

  • Ensures that documentation is adequately maintained by: directing documentation processes across teams (e.g., maintenance, repairs, part replacement) and ensuring the usage of the centralized maintenance management system to ensure optimal workload; holding teams accountable for upholding standards, procedures and protocols for all major processes and making improvements when necessary; and providing oversight for the parts of inventory for medical devices and software.

  • Oversees the equipment lifecycle by: overseeing the teams installing, updating, and modifying a variety of medical equipment; leading teams to receive acceptance checks in accordance with manufacturers specifications independently that may require advanced strategic and conceptual judgment and discretion; leading investigations of medical equipment involved in highly complex or critical patient and employee accidents and/or incidents, and documenting the findings and ensuring the results are adequately documented; and advising senior leadership on the purchase of new medical equipment and software, and recommending decommissioning of obsolete or irreparable equipment.

  • Oversees ongoing preventative maintenance of medical equipment by: holding team members accountable for standards of organizational excellence in routine inspections and functionality tests of highly complex medical equipment (e.g., integrated, interoperable) medical devices and software independently; developing and holding team members accountable to organizational standards of excellence when performing scheduled preventative maintenance of medical equipment and software (e.g., replacing parts); overseeing requests for maintenance that may require innovative judgment and discretion; and driving the direction for ongoing preventative maintenance activities, problems, and concerns, and ensuring of work across teams.

  • Oversees the repairs of medical equipment and software by: leading teams to troubleshoot and repair medical equipment and software, resolving highly complex or critical issues and escalating when necessary, and ensuring time and resources are utilized in alignment with organizational strategy; holding team members and outside vendors accountable to organizational standards of excellence when performing corrective repairs on medical equipment and software; managing team members to analyze and correct highly complicated malfunctions on a variety of medical device and software systems; and providing high-level oversight across teams to ensure the correct completion of medical equipment and software repairs to avoid future issues.

  • Contributes to the appropriate use of outside resources by: creating criteria for determining the need for outside resources for repairs and maintenance using advanced judgment; and providing high-level oversight for team members requests for outside resources, escalating issues with vendors, and overseeing relationships with vendor organizations.

    Minimum Qualifications:

  • Minimum two (2) years of experience managing operational or project budgets.

  • Minimum five (5) years of experience in a leadership role with or without direct reports.

  • Associates degree or vocational certificate in Electronic Service, or related field AND Minimum nine (9) years of experience in medical technology field service with medical devices and systems or a directly related field OR Minimum ten (10) years of experience in technology field service, or a directly related field.
