Description

We are offering a contract to hire employment opportunity for an Accounting Assistant in Benicia, California, United States. This role primarily supports the organization with a concentration on Accounts Payable (AP) Invoice entry and overall support to the AP department. The Accounting Assistant will be responsible for various routine clerical duties, ensuring efficient operation of the office.

Responsibilities

• Provide comprehensive support to the Accounts Payable department, including assisting with invoice reconciliation and vendor communications.

• Handle the accurate entry of Accounts Payable Invoices into the system, ensuring timely and accurate processing.

• Perform clerical duties including typing, filing, and completion of simple forms.

• Operate office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.

• Serve as the receptionist for the office, greeting visitors and applicants.

• Answer phones, direct calls to appropriate individuals, and prepare messages.

• Copy, sort, and file records related to office activities, business transactions, and other matters.

• Prepare letters, memos, forms, and reports according to written or verbal instructions.

• Sort incoming mail and deliver to the appropriate department or individual, process outgoing mail.

• Manage calendars and schedule appointments.

Requirements

• Minimum of 1 year of experience in an accounting role

• Proficiency in Accounts Payable (AP)

• Experience in administrative assistance

• Familiarity with receptionist duties including answering inbound calls

• Knowledge and ability to code invoices

• Experience in high-volume data entry

• Ability to enter and process vendor invoices

• Strong organizational and multitasking skills

• Excellent communication and interpersonal skills

• Proficiency in using accounting software and Microsoft Office Suite

• Attention to detail and problem-solving abilities
