Job Summary/Basic Function
About This Role:
The Senior Administrative Assistant provides administrative support to the Dean including screening and handling telephone calls, greeting, and directing visitors, scheduling meetings, dealing with administrative situations and inquires, and communicating with multiple conflicting groups and demands.
What You’ll Do – Position Responsibilities:
- Provides administrative support to the Dean:
Including screening and handling telephone calls, greeting, and directing visitors, scheduling meetings, dealing with administrative situations and inquires, and communicating with multiple conflicting groups and demands.
Manages the Dean’s calendar daily: schedules meetings, reserves meeting locations, and other related activities; Screens and evaluates incoming and outgoing correspondence and prepares responses.
- Library Administrative Office Management:
Maintains various filing systems including personnel files, student workers, current files, and retired files for administration office and administer retention schedule via electronic filing system, Xtender.
Records and produces draft of minutes/notes for varies meetings such as Dean’s Administrative Group, College Library Committee meetings, Staff and Faculty meetings, and Library-wide Informational meetings.
Reports and follow-ups on all maintenance problems for the physical plant, IT, and telecommunications.
Supervises student workers.
Attends various Lamar University trainings throughout the year to stay up to date with compliance and to enhance job skills.
- Personnel Duties:
Prepares personnel forms such electronic EPAFs (Employee Personnel Action Form), employee exit paperwork, and other required forms on or before deadlines.
Reviews accuracy and approves employees’ time sheets and leave reports for the Dean, including the student workers.
Processes all faculty and staff new hiring packets throughout the year.
- Assists in the Business Manager’s responsibilities as directed which includes purchasing, request to pays, and foundation checks.

Office practices, procedures, equipment, and customer services.
Physical Requirements:
Able to lift 25 pounds and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.

Minimum Qualifications
associate’s degree in office administration
secretarial science or related field; or three years of progressively responsible secretarial/administrative support experience; or any equivalent combination of experience and/or education for comparable knowledge, skills, and abilities
Exceptional written and verbal communication skills
Ability to manage an executive office environment with a friendly attitude, including patience, tact, and ability to maintain composure required
Superior computer skills particularly MS Office

Preferred Qualifications
One year experience as an executive secretary or assistant to an executive secretary or similar work experience
