BEAUMONT - CITY OF Secretary II Fleet Management in Beaumont, Texas
Duties and Responsibilities
Essential Job Functions:Answers multi-line telephone, responds to inquiries or directs calls to appropriate personnel. Assists visitors with walk-in requests, communicates with vendors and City employees, including shop floor personnel. Monitors and uses City radio. Receives field service requests and dispatches as required. Enters, retrieves and verifies computer data accurately. Utilizes divisions' specialized computer software for data input, reports, and other functions as necessary, including but not limited to opening and processing work orders, input of daily fuel that is manually recorded, and generating and distributing light vehicle preventative maintenance schedules. Distributes state inspections, license plates and vehicle keys. Generates and issues lubricant cards. Maintains files in compliance with the local government record retention schedule. Provides backup support in the clerical operations of the division.

Working Conditions
Must be available to work 7:00 a.m. to 4:00 p.m. Monday through Friday, overtime when necessary. Must be a self-motivated individual who can work alone. Potential exposure to exhaust fumes, other fumes, dust, odors, and loud noises as this position is within an automotive maintenance facility.
Minimum Essential Qualifications
Knowledge: Knowledge of data entry procedures, some knowledge of office methods, procedures, equipment and practices; knowledge of business English, spelling and arithmetic; knowledge of automotive maintenance operations preferred.
Skills/Abilities:Ability to maintain complex records; ability to perform various computations with accuracy and speed; ability to operate PC and various office machines; ability to establish and maintain effective working relationships with other employees and vendors; ability to operate 10-key calculator by touch; ability to talk on the telephone and write at the same time, ability to make decisions, ability to perform data entry with a high degree of accuracy preferred.
Physical Requirements:Constantly sees and hears; frequently climbs stairs, operates a printer, uses a calculator, sorts, walks, sits, types, files, reads, answers the telephone, carries objects weighing up to 25 lbs., performs data entry, operates a fax machine and copier, kneels, reaches, stoops, squats, sorts, twists body, and writes by hand; infrequently cleans.
Education/Experience:Graduation from high school or equivalent supplemented by one (1) year experience in data entry, filing and general clerical duties.
