Job Summary/Basic Function

About This Role:

This position provides high-level administrative support to the Chief Information Officer and the Information Technology (IT) department. This role involves managing the CIO’s schedule, coordinating meetings, handling correspondence, and assisting with various projects to ensure the smooth operation of the IT department.

What You’ll Do – Position Responsibilities

  • Provides professional administrative support to the Chief Information Officer and the

Information Technology department. Performs receptionist activities for all

departmental areas, including excellent customer service; greets visitors and students

and ensures phone calls are answered promptly and directed appropriately. Serves as an

IT Liaison among leadership, internal and external customers, the public and the Lamar

Community.

  • Effectively manages calendars for the CIO , AVPs and Directors. Reserves and coordinates

multiple meeting spaces and enters all approved employee vacation or sick leave to

appropriate calendars.

  • Assists VP/ CIO in meeting divisional goals/standards by gathering data for and

processing annual reports and responding to questionnaires, surveys, BOR Reports and

the ITS strategic plan.

  • Assists Inventory Specialist with annual inventory and surplus inventory.

  • Maintains personnel records and training for all employees.

  • Assists with general duties such as deliveries on-campus, mail pick-up, copying papers,

filing, shredding, troubleshooting in addressing current and prospective customers

questions/issues, etc. Maintains departmental supplies and equipment in Reaud

Workroom.

  • Performs other duties as assigned.

Key Competencies:

  • Demonstrate expert knowledge of office management skills.

  • Skill in using Microsoft Word, Excel, PowerPoint, e-mail, and Internet Navigation.

  • Excellent communication skills, both verbal and written.

  • Demonstrated reliability in attendance and punctuality.

  • Ability to understand and follow complex oral and written instructions.

  • Excellent customer service skills when interacting with students, customers, vendors, and the public.

  • Ability to collaborate cooperatively with fellow employees and supervisors. · Ability to work in fast paced situations.

  • Adhere to university and to Information Technology policies.

Physical Requirements:

  • Able to lift 15 lbs and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing and walking between buildings.

Minimum Qualifications

  • Associate degree or two years of college coursework related to job functions, or combination of education and experience in related field (2 years of experience = 1 year of formal education).

  • One year of secretarial or office experience required.
