Minimum Qualifications

Under general supervision from the VC of EASI, the Manager leads, plans, and implements internal and external events and meetings. The position is responsible for event oversight including researching and securing event locations, event planning, managing vendors, communicating with attendees, and on-site logistics. Additionally, the Manager works to identify and implement key internal and external events for BRCC to increase community visibility, business development opportunities, and programmatic growth.

50% Event Planning/Management

  • Develop and manage the organizational systems and vendor relationships and practices that support strong events and strategic relationships (internal and external)

  • Provide strategic counsel to program and communications staff on event best practices, including scope, format, platform, and audience to maximize reach and resonance.

  • Evaluate and select an effective and cost-efficient automated platform for events management.

  • Maintain event planning, for signature events including overall project management, developing timelines, reservation processes, and providing cost structure for invoicing.

  • Provide project management to ensure that events are advancing on time, on budget, and against success metrics.

  • Oversee and serve as point person for on-site event logistics from set-up through post-event wrap-up.

  • Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.

  • Ensure accommodations related to meals, access, communication, etc. are provided to customers, attendees, etc. as requested and/or as needed (such as dietary restrictions, interpreters, ramps, etc.)

  • Liaise with BRCC’s Chief Marketing and Public Relations Officer and team to promote events and ensure that BRCC reaches its metrics of success.

  • Provide updates that align with the Marketing department to ensure the development of event programs, agendas, signage, and other materials to ensure consistency and adherence to BRCC’s style guide.

  • Meet with members of the Support Services Team on a bi-weekly basis to discuss events and ensure collaboration and efficiencies are met on all levels.

  • Communicate and work with Support Services Team to maintain and establish business relationships with external vendors to accommodate meeting needs including AV service providers, printers, live streaming companies, transportation services, etc.

  • Manage high-level logistics for all BRCC events, including liaising with the IT department on audiovisual needs before the event, arranging for catering and outside equipment, and occasionally finding external venues.

  • Serve as a liaison between BRCC internal program leadership and event staff to assign event responsibilities and ensure quality control.

  • Manage and review all reservation request forms, agreements, logistics documents, and/or banquet/catering event orders to ensure they reflect meeting and event needs.

  • Lead planning efforts for signature events (i.e. Assist with developing guest/rsvp lists, managing guest communications, and instructional meetings).

  • Manage communications to sub-committees as deemed necessary.

  • Serve as leader or assist project manager with management of the event planning committee, which includes agendas, minutes, follow up on task lists, building budgets, project plans, etc.

  • Draft event briefings for leadership and provide recommended content for event run of show.

  • Update and submit a post-event satisfaction survey to ensure continual feedback and improvement of client expectations

25% Business/Strategic Relationships

  • Assist in the process of client curation of content, execution, and evaluation of signature events, (e.g. College Convocation, Graduation Ceremony), that establish connectivity among, BRCC Students, Graduates, Alumni, Faculty, Staff, Community, and other stakeholders.

  • Assist in the development of a strong pipeline of new business opportunities through direct or indirect client contact.

  • Create new collaboration opportunities while guiding longtime BRCC clients.

  • Establish strategic relationships for further engagement (i.e., attend activities at the BRCC Campuses).

  • With support from the Chancellor’s Cabinet, research, track, and recruit new opportunities to increase revenue from space rentals, such as conferences, meetings, and special events.

  • Build systems and processes that will provide an excellent experience for clients, to increase repeat customers.

  • Steward relationships for further engagement (i.e., attend activities at the BRCC Campuses)

  • Lead the effort to create marketing materials and input for the website to promote BRCC as a preferred provider of space rental in the capital region.

20% Administrative

  • Track budget and revenues, reach and relevance of events, offer new ideas to maximize the impact of BRCC’s event and overarching programming platform

  • Set and track annual goals and metrics in collaboration with VC of EASI based on past revenue and rental volume.

  • Work to ensure the weekly organizational calendar (BRCC Events calendar) is comprehensive and up to date.

  • Create monthly and/or ad hoc meeting reports and develop/maintain event guidelines, policies, and procedures and provide to the Vice Chancellor for EASI

  • Manage and update the approved vendor list, including venues, catering, audio-visual, etc.

  • Close out events as required and provide proper justification to finance.

  • Based on need, supervise one student worker, ensuring their responsibilities are met - including job evaluation and other related managerial duties.

Required Education:

  • Bachelor's degree in business, Marketing, Sales, Finance, or a related field

Required Experience:

  • Three (3) years of professional work experience in a role with similar responsibilities

Substitutions:

  • Master’s degree in one of the stated fields substitutes for two (2) years of the required experience.

  • Bachelors in any field accepted with an additional two (2) years of the required experience.

  • Associate’s degree in one of the stated fields is accepted with an additional two (2) years of the required experience.
