University of Maine System Administrative Specialist CL2: Veterinary Technology Program in Bangor, Maine

Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine at Augusta from 09/11/24 through 09/18/24 and to external applicants thereafter.

Job Description:

The University of Maine at Augusta is seeking applications for the full-time position of Administrative Specialist Career Level 2 (CL2) in the Veterinary Technology Program.

Responsibilities include, but are not limited to:

  • Receive invoices, check requests and other forms electronically for coding and processing.

  • Creating and organizing documents and reports using Microsoft Office, Excel, Google drive, etc.

  • Maintaining confidential student and patient records.

  • Monitoring inventory and ordering supplies.

  • Tracking expenditures and budgets.

  • Scheduling, planning, and preparing for meetings, events, and offsite course learning.

  • Staffing the front desk and answering phone

  • Providing administrative support including screening calls, visitors, and mail

  • Maintaining office equipment including copiers, facilitating service orders for lab equipment such as microscopes and x-ray.

  • Provides customer service to both members of the University of Maine System community and outside vendors.

  • Troubleshooting technological problems and submitting work orders/tickets for support services.

Work Schedule: Monday-Friday, 8:00 a.m. - 5:00 p.m. Occasional additional evening and/or weekend hours may be required.

Wage: The starting rate is $18.22 for a new hire or the appropriate transfer rate for a current employee within the ACSUM collective bargaining unit.

Qualifications:

Required:

  • High School diploma or equivalent education and job-related experience, including two years of administrative support experience.

  • Accounts payable experience

  • Experience with data entry and web-based programs

  • Strong organizational skills and attention to detail

  • Excellent written and oral communication skills

  • Solid math and problem-solving skills

  • Positive attitude, self-starter, ability to work independently and as part of a team

  • Strong computer skills and experience using spreadsheet software such as MS Excel

  • Customer service experience

  • Ability to work on-site

Preferred:

  • Associate's degree

  • Accounting skills and experience

  • PeopleSoft, SciQuest, and/or other ERP experience

  • Familiarity with veterinary medicine and comfort working around animals.
