Johns Hopkins University Sr. Administrative Coordinator in Baltimore, Maryland

The Johns Hopkins University Department of Biophysics and Biophysical Chemistry is seeking a highly skilled Sr. Administrative Coordinator who can manage multiple priorities and deadlines while providing high service to the faculty and leadership within the department.

Specific Duties & Responsibilities:

  • Schedule, coordinate, and set up meetings for the Director and Faculty, ensuring all logistics are handled efficiently.

  • Circulate meeting invitations, agendas, and minutes as assigned, and ensure all participants are well-informed and prepared.

  • Provide comprehensive administrative support, including document formatting, typing meeting agendas, materials, and minutes, and ensuring all documents meet departmental standards.

  • Make travel arrangements and coordinate the travel schedules for the Director and Faculty, including booking flights, and accommodations, and managing itineraries.

  • Maintain and edit the department's website, ensuring all content is up-to-date, accurate, and aligned with the department's goals.

  • Oversee the faculty annual review process for the Chairman and Dean’s Offices, including organizing materials, ensuring completion, and coordinating with relevant parties.

  • Handle confidential materials from inside and outside the department with the utmost discretion and professionalism.

  • Assist in the planning and execution of departmental events, including seminars and conferences.

  • Assist in monitoring and tracking departmental budgets, including processing invoices, expense reports, and purchase orders.

  • Act as a liaison between the Director, Faculty, and other departments, ensuring clear and efficient communication.

  • Serve as a backup to the Senior Academic Program Coordinator, stepping in as needed to ensure continuity of operations.

Skills, Knowledge & Abilities

  • Advanced knowledge using office software applications including Microsoft Excel, Microsoft Word, Microsoft PowerPoint, and Microsoft Outlook.

  • Experience working within large, complex organizations and supporting events and meetings.

  • Excellent communication and interpersonal skills including the generation of meeting summaries and action steps.

  • Capacity to work independently and in a fast-paced environment; must have excellent organizational skills.

  • Superior level of attention to detail and ability to research and follow up on actions.

  • Excellent customer service skills to interact effectively with faculty, staff, students, and external customers.

  • Ability to manage projects and determine priorities while maintaining a high degree of professionalism and confidentiality.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Five years of progressively responsible administrative experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Batchelor's Degree

  • Fluency in SAP

Starting Salary Range: $21.25 - $36.90 HRLY ($62,000 targeted; Commensurate with experience)
