The Johns Hopkins Institute for Planetary Health (JHIPH) is the leading organization at the forefront of Planetary Health, a new, rapidly growing global field and social movement focused on understanding the human health impacts of our disruption and transformation of Earth's natural systems and the solutions necessary to address these challenges. Never before has humanity's footprint on the natural world been so large or so threatening to human health and well-being. The JHIPH mission is to is to catalyze scholarship and practice of Planetary Health across the University; bring together a cohesive community of practice; and establish JHU as a global leader in addressing the global health and humanitarian dimensions of the Earth crisis. JHIPH also supports the Planetary Health Aliance (PHA) which is a growing global consortium of over 430 institutions in more than 70 countries, plus 3,500+ individual members, advancing Planetary Health understanding by convening experts; creating, gathering, and distributing educational materials; and curating, synthesizing, and disseminating evidence to inform and activate the Planetary Health community and the broader society.

JHIPH seeks a detail-oriented and motivated Sr. Administrative Coordinator to support the JHIPH growing team in building a transdisciplinary community dedicated to advancing the field of Planetary Health. The Sr. Administrative Coordinator will work in close collaboration with JHIPH Administrative Manager and other staff in both JHIPH and PHA to coordinate the organization’s administrative, financial, and operational activities on a day-to-day basis to successfully support its vision and mission. The Sr. Administrative Coordinator will report to the JHIPH Sr. Administrative Manager.

Specific Duties & Responsibilities

  • Serve as a principal contact for the Johns Hopkins Institute for Planetary Health (JHIPH) inquiries, through management of JHIPH's office phone and email account.

  • Support internal JHIPH team functions: manage weekly team meetings using project management software; track progress in achieving milestones; maintain calendars for JHIPH senior leadership; schedule room reservations; arrange staff travel.

  • Support JHIPH financial administration including preparing monthly expenses reports, reimbursements for staff and stakeholders, managing payments for services and supplies, and other routine financial tasks.

  • Assist JHIPH Executive Director and Sr. Administrator with grants management tasks, including budget preparation for proposals, tracking expenditures, and annual reporting.

  • Assist JHIPH leadership with report preparations, including proofreading, and final formatting.

  • Support the hiring and onboarding process of new employees, interns, and students including generation of job descriptions, Position Posting Forms, as well as coordination with Human Resources and Information Technologies.

  • Manage access to and structure of JHIPH shared information technology systems (e.g., OneDrive, Click Up, Salesforce, etc).

  • Create, organize and maintain administrative Standard Operating Procedures.

  • Support event facilitation within JHIPH.

  • Provides other logistical support to the JHIPH, as needed.

  • Travel occasionally (<5% of the time) to conferences and events hosted by partner institutions; occasionally present on behalf of the JHIPH.

  • The position is based in Baltimore and may also attend occasional events at the Johns Hopkins University Bloomberg Center at 555 Pennsylvania Avenue in Washington DC. The position will collaborate with our internal team and global partners to support our mission.

Special Knowledge, Skills, & Abilities

  • Excellent organizational skills, analytical and problem-solving abilities, and attention to detail.

  • Ability to work for periods of time without direction, prioritize own work, and work with flexibility on several tasks simultaneously in order to meet various concurrent deadlines.

  • Excellent computer literacy skills (Excel, Access, Word, PowerPoint) and ability to learn new software.

  • Effectively manages multiple projects, often under tight timelines.

  • Excellent writing and verbal communication skills; also, with exceptional attention to detail.

  • Limited travel may be required.

  • Strong interpersonal skills and ability to work as part of a team.

  • Ability to work in a dynamic, fast-paced environment and respond quickly to changing priorities.

  • Strong Microsoft Office skills, including Outlook

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Five years progressively responsible administrative experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor’s Degree.

  • Three years of prior organizational experience.

  • Experience with Concur, System Applications Products (SAP), and scheduling software.

  • A personal interest in the field of Planetary Health.

  • Awareness of and aptitude to appropriately and effectively understand, respect, and adapt to cultural and identity-based difference within group environments.

  • Knowledge of and commitment to concepts and issues tied to social justice, diversity, equity, and inclusion.

  • Skills related to creating and supporting an environment that allows for inclusion, effective intercultural engagement, and personal humility and authenticity.

Classified Title: Sr. Administrative Coordinator

Role/Level/Range: ATO 37.5/03/OF

Starting Salary Range: $21.00 - $36.50 HRLY (Commensurate with experience)

Employee group: Full Time

Schedule: Monday to Friday: 8:30 am – 5 pm
