Johns Hopkins University Sr. Administrative Coordinator in Baltimore, Maryland

The Center for Social Concern (CSC) fosters a lifelong commitment to active citizenship by integrating education, action, and reflection into community-focused programming for Hopkins students within Baltimore City. We are seeking a Sr. Administrative Coordinator whose role is critical in providing administrative, programmatic, and financial management support to the Center for Social Concern’s portfolio, advancing our mission. This position will be highly detailed and technical and require exceptional administrative judgment and communication with a diverse network of people.

The candidate will be responsible for maintaining a foundational level of knowledge of a variety of programs and financial management platforms that support departmental operational processes. The ideal candidate for this role will be a collaborative team member as they will work with all CSC staff members to support the CSC’s office and financial management as well as logistical support.

The role develops and manages complex and key administrative projects: databases, reports, grant proposals and reports, office workflow, records control, course materials, calendar management for the executive director, coordinates departmental meetings (in-person and virtual), maintains office supplies, on-site facilities coordination, logistics management for programs and events, and assists with special projects.

Reporting to the CSC Deputy Director, this position will perform a wide variety of duties and administrative tasks necessary for the smooth operation of the Center.

Specific Duties & Responsibilities

Office Management/Administrative Support (60%)

  • Analyze information and draft reports, present findings to department leadership, and take the lead in the development of enhancements or remediation plans.

  • Ensures smooth management of the day-to-day administrative operations of the Center including coordination with IT services, Jcard management, events and scheduling, housing, facilities, catering, and other campus departments and vendors as needed to ensure general office and event maintenance.

  • Develop new processes and procedures to manage office workflow.

  • Manages inventory of office supplies and places new orders as needed.

  • Responsible for the timely and appropriate dissemination of information, both across the office or to external students/community-based and internal partners.

  • Oversee activities of the office; establish and assign priorities, ensure timelines and deadlines are adhered to and met including calendar management of the executive director and additional centralized department calendars.

  • Coordinates complex staff meetings (in-person and virtual via conferencing platforms); organizes meeting materials, agendas, and meeting minutes as needed.

  • Coordinates travel for CSC staff guests as needed.

  • Engage in project management activities; develop project plans, identify and assign deliverables, ensure contributors stay on task, and meet deadlines for special projects and events as required.

Financial Management and Logistical Support (40%)

  • Provides risk management, operational, and financial management support for CSC programs that includes platform management, supply purchasing, room reservation requests, transportation coordination, and overseeing general budget management.

  • Supporting the management of the Lyft Program for all CSC programs through Hopkins Engage data management platform & Lyft platform and overall transportation to support CSC programs as needed.

  • Supports budget analyst as needed to process financial management transactions such as student timesheets, invoices, reimbursements, SAP and timesheetsX analysis and reporting, and honorariums.

  • Analyze, draft, and present project data to support program proposals, grant proposals, and financial reports.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Five years of progressively responsible administrative experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Associate or bachelor's Degree preferred.

  • At least three years’ experience in event planning, logistics, or coordination.

  • Experience in a professional setting providing office management and administrative assistance.

Role/Level/Range: ATO 37.5/03/OF

Starting Salary Range: $21.00 - $36.50 HRLY (Commensurate with experience)

Employee group: Full Time

Schedule: Mon - Fri / 8:30am - 5:00pm
