Johns Hopkins University Sr. Administrative Coordinator in Baltimore, Maryland

The Office of Government, Community & Economic Partnerships (GCE) is seeking a Sr. Administrative Coordinator who reports to the Director for Economic Inclusion & Impact. The Sr. Administrative Coordinator serves an important role within GCE. This position serves as the main administrative contact for the Director of Economic Inclusion & Impact, the Special Advisor to the Vice President of GCE, and the Executive Director of Ward Infinity (Principals). This includes administrative support, project and special event coordination, and communications with internal and external constituencies, office staff and university and health system leadership.

This role includes a considerable degree of independent action and frequent interaction with internal and external constituencies. This position requires consummate skills in diplomacy, discretion and confidentiality. The successful candidate will have demonstrated experience working in a fast-paced, executive environment and will be a core member whose contributions to a team-based and cross trained environment will advance the goals of Johns Hopkins University and Johns Hopkins Health System.

Specific Duties & Responsibilities

  • Staffs the Eastern Office front desk Monday – Friday during business hours.

  • Serves as the primary point of contact for all Eastern Office logistical matters, including but not limited to troubleshooting printer and copier issues, ordering and managing an inventory of office and kitchen supplies, and ensuring that the kitchen area is maintained.

  • Serves as primary point of contact for the principals.

  • Serves as the frontline representative to internal and external stakeholders, vendors, and the public.

  • Schedules all appointments including internal and external meetings, speaking engagements, events, etc. for the principals. Based on special knowledge and understanding of initiatives, goals and objectives of the office, independently resolves scheduling conflicts, prioritizes requests, confirms and tracks event and meeting details.

  • For the Director and Special Advisor, coordinates travel logistics including transportation, accommodations, and meals, scheduling meetings and creating an itinerary to include biographies and other supporting materials, as necessary.

  • Tracks expenses and prepares expense reports for reimbursements for the Principals and the Vice President for Government, Community, and Economic Partnerships.

  • Resolves administrative issues and problems that arise throughout the course of the day.

  • Submits invoices on behalf of Ward Infinity.

  • Works with the Principals on all scheduling and planning activity, including but not limited to Hopkins Local and Ward Infinity meetings and events to be held throughout the year. Works with the Principals to coordinate event logistics ensuring all aspects of the event are managed.

  • Performs other duties as assigned.

Special Knowledge, Skills & Abilities

  • Ability to work efficiently, effectively and professionally in a fast-paced environment interacting with senior level executives and officials.

  • Excellent verbal and written communication skills and ability to handle confidential information.

  • Strong organizational skills and facility with spreadsheets.

  • Knowledge and experience with business and financial processing, such as expense reimbursements, payment of invoices, are also critical skills needed in the successful candidate.

  • Extensive experience with office technologies and databases including MS Word, Excel, and PowerPoint.

  • Must be an independent worker, a self-starter, flexible, motivated, and able to handle multiple tasks.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Five years progressively responsible administrative experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor's preferred.

  • Administrative experience within student affairs preferred.

Starting Salary Range: $21.25 - $36.90 HRLY (Commensurate with experience)

Employee group: Full Time

Schedule: Monday-Friday; 8:30a-5:00p
