Johns Hopkins University Administrative Coordinator in Baltimore, Maryland

We are seeking an Administrative Coordinator who will provide high-level administrative and project support to faculty and teaching fellows (graduate students and postdocs) within the University Writing Program (UWP). This position is primarily responsible for coordinating all UWP courses, including first-year writing classes for nearly 1000 students per year, as well as advanced undergraduate and graduate courses. Overall, the position is responsible for ensuring that curricular and administrative matters are handled promptly, accurately, and professionally.

While this is a hybrid position, the employee would be fully on-site during their probation period for training, onboarding, and in-person meetings.

Specific Duties & Responsibilities

Academic Coordinator/Scheduling

  • Work with the Program Director, Associate Director, and Registrar to develop and manage yearly course scheduling.

  • Set up course information and room scheduling.

  • Update program offerings and course descriptions in the University course catalog, UWP website, and other databases.

  • Assist with access issues related to Canvas, email, and SIS; manage course folders, as well as other related duties.

Administrative Support

  • Provide administrative support to the University Writing Program; its Director and Associate Directors; and the Writing Center.

  • Maintain the UWP and Writing Center websites with KSAS Marketing and Communications.

  • Assist with coordinating department events such as seminars, orientations, and open houses, including arranging rooms and catering (this can include some physical work, such as lifting boxes of printer paper, for example).

  • Attend administrative meetings. Participate in project meetings, making important contributions to the discussion.

  • Develop spreadsheets or other tracking tools and data sources.

  • Assist with the onboarding of faculty, staff, and teaching fellows.

Finance/Budget Support

  • Provide purchasing, reimbursement, and invoicing support as a backup to the Sr. Administrative Coordinator.

  • Other similar duties as assigned.

Special Knowledge, Skills, & Abilities

  • Highly organized, with demonstrated ability to work independently and proactively with minimal supervision when needed, and how/when to triage and elevate issues to the UWP Director.

  • Experience working with diverse populations as part of a team.

  • High-level interpersonal communication and writing skills.

  • Ability to maintain confidentiality and professionalism.

  • Ability to anticipate the needs of assigned principal(s) and use discretion and sound judgment in independent decision-making.

  • Expert proficiency with standard office equipment and software (i.e. Excel, Word, PowerPoint, Outlook, Adobe, SharePoint, OneDrive).

  • Demonstrated skills in compiling and analyzing data.

  • Effective time management skills while handling multiple, shifting, and competing priorities.

  • Proficiency with web design and development tools such as WordPress.

  • Proficiency with diverse e-platforms and tools such as Canvas, Slate, Microsoft Teams.

Physical Requirements

  • Assisting with events like seminars, orientations, and open houses, including room arrangements and food, may require physical labor (e.g., lifting boxes of printer paper, rearranging tables, etc.).

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Three years related experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor’s Degree and 3 to 5 years of related experience.

  • Experience in higher education or an executive-level office in support of academic, business, research, and/or development operations.

  • Experience with seeing projects through to completion.

Role/Level/Range: ATO 37.5/02/OE

Starting Salary Range: $18.00 - $25.75 - $33.50 HRLY (Commensurate with experience)

Employee group: Full Time

Schedule: Monday - Friday, 8:30 am - 5:00 pm

Exempt Status: Non-Exempt
