The Maryland Port Administration (MPA) is a 204-employee transportation business unit within the Maryland Department of Transportation (MDOT) and is the public face of the Port of Baltimore. MPA was created by the Maryland General Assembly to increase waterborne commerce through the ports in the state. The Port of Baltimore plays an integral role as an economic generator and job creator, in addition to maintaining our nation’s supply chain and moving vital goods to industries and consumers. As one of the nation's top ports for total cargo tonnage and overall dollar value of cargo, the Port of Baltimore is also one of the most diverse ports in the United States with over 140,000 jobs in Maryland linked to port activity .

General Role Description:

MPA is seeking a motivated, organized, positive, and driven Executive Assistant professional to join the Office of Commercial Development. T he primary responsibility of this position is to provide executive-level administrative support to the MPA Deputy Executive Director of Commercial Development, including, but not limited to, answering phone calls and emails, scheduling and coordinating meetings and events, coordinating travel arrangements, and preparing reports, documents, materials, and presentations. This position performs administrative coordination and follow-up efforts with various short and long-term assignments for the Deputy Executive Director.

Essential Duties and Responsibilities:

Some of the essential duties of this position include, but are not limited to the following:

  • Receives, answers, screens, and appropriately directs incoming correspondence, calls, and visitors.

  • Maintains and updates multiple calendars (including the Deputy Executive Director’s) with frequently changing priorities to relieve the Deputy Executive Director and other MDOT/MPA Leadership of administrative detail.

  • Prepares information and materials for high-level executive meetings.

  • Maintains routine, sensitive, and/or confidential records, files, and materials in accordance with MPA polices and procedures.

  • Compiles and assembles necessary information and data in approved formats for reports, memos, and presentations.

  • Attends meetings, conferences, and special work groups in order to prepare and distribute meeting minutes, notes, and books in support of the MPA Deputy Executive Director of Commercial Development and other stakeholders.

  • Drafts, proofreads, and submits for approval written responses to issues and inquiries on behalf of the Deputy Executive Director.

The current vacancy exists at the Baltimore World Trade Center. This position reports directly to the Deputy Executive Director of MPA Commercial Development.

Qualifications

Preferred Qualifications:

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five (5) years of experience in secretarial or personal administrative assistant or administrative support work. One (1) year of this experience should involve providing direct, administrative support to a Director or Executive-level position.

The ideal candidate will possess:

  • Very strong communication (written, verbal, and non-verbal) skills effective in a diverse working environment.

  • Very strong independent decision making and judgement.

  • Very strong organizational skills and abilities.

Licenses & Certifications

1.) A current, Class C (Non Commercial) motor vehicle operator's license valid in the State of Maryland is required for this position. The applicable fields on this application regarding your Driver's License are required on this application for position eligibility.

2.) The incumbent will be required to obtain and maintain a Transportation Worker Identification Credential (TWIC) to gain unescorted access to Maryland Department of Transportation Maryland Port Administration facilities.
