JOB SUMMARY

The Employee Records Coordinator assists with the management of employee documents. They are the primary point of contact for employee record related questions and file review. The Employee Records Coordinator will interface with a variety of customers, including but not limited to employees, managers, Human Resources and outside agencies. They are expected to provide accurate information in a timely manner to meet necessary deadlines.

Accountabilities

  • Provide customer service to both internal and external customers; responding to all requests in a timely manner while following established procedures

  • Prepare, index and validate all worker documents for accurate and efficient entry into our Human Capital (HCM) platform; ensuring the integrity of records by performing quality checks prior to document upload

  • Prepare, scan, index and validate all paper files accurately and efficiently for entry into our HCM platform

  • Locate and retrieve employee records as requested during health system audits, such as those involving the Joint Commission or the Department of Health

  • May assist in directing the destruction of records, per the health system’s record retention guidelines.

  • Assist with personnel records change requests, including but not limited to address updates and status changes

  • Manage employee deductions thought the Human Capital Management (HCM) platform, such as parking and union dues

  • Provide employee information, such as original start date and benefit balances, for transfers between the University or Pennsylvania Health System and the University of Pennsylvania

  • Partner with HR Compliance when necessary to ensure proper licensure, certification and clearance documentation

  • Manage Public Service Loan Forgiveness form completion, including but not limited to PSLF, PeopleJoy and PHEAA

  • Address verification of employment requests when our third party vendor cannot provide an adequate solution

  • Provides prompt service and response on records issues, subpoenas and governmental/public welfare inquiries, and unemployment claims

  • Review and approve newly requested job descriptions, after entering designated information

  • Audits various reports to identify errors and works to correct them in the Human Capital Management (HCM) platform

  • Assists the HR Operations team with special projects as needed.

  • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures

  • Other duties as assigned to support the unit, department, entity, and health system organization

Education or Equivalent Experience:

  • H.S. Diploma/GED (Required)

  • And 1+ years Experience in a related area (IS, HR Operations, or Health Care Operations, Records Department). (Required)

  • Bachelor of Arts or Science (Preferred)
