EXACT STAFF Human Resource Assistant in Bakersfield, California

We are currently seeking a Human Resource Assistant/Receptionist in Bakersfield, CA ! You will be responsible for managing the company lobby and perform administrative tasks and services to support effective and efficient operation of the organizations Human Resources and Bidding Departments. Greeting and handling requests. Supply information to callers, relay messages. Announce visitors and perform general administrative duties.

  • Temp to Hire
  • Schedule: Monday- Friday 8:00AM- 5:00PM
  • Pay Rate: $20.00-$25.00/HR

ESSENTIAL JOB FUNCTIONS:

  • Greeting and handling requests. Supply information to callers, relay messages. Announce visitors and perform general administrative duties
  • Receive and record all incoming documents, mail, packages, and deliveries as needed. Maintain office supplies as required for employees.
  • Handle special administrative projects, as well as administrative requests with overflow of work, including word processing, data entry and internet research tasks.
  • Maintains accurate and up-to date human resources files, records and documentation
  • Answers frequently asked questions from applicants and employees relative to standard policies benefits, hiring processes, etc. refers more complex questions to appropriate Sr. level HR staff or management
  • Maintains integrity and confidentiality of human resources files and records
  • Performs periodic audits of hr. files and records to ensure that all required documents are collected and filed appropriately.
  • Provides clerical support to the HR department
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Identify and update Certified Payroll Drive with Non-Performance Statements. Notifies Sr. HR personnel of Certified Payroll that must be converted to XML format for distribution.
  • Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events,
  • Updates CPR Project list by identifying State or Federally funded projects that will have certified payroll
  • Answer all incoming phone calls in a professional manner:
  • Process all incoming and outgoing mail. The deadline for outgoing mail is 4:00 PM.

Other:

  • Sorts mail identifying checks for deposit and notifying Accounting immediately for daily deposits.
  • Mail that is to remain unopened is to be dated stamped on the exterior of the envelope and placed in employee mailboxes.
  • All mail is confidential and must not be discussed.
  • Additional duties include creating and maintaining plan holders forms, receiving logs, shipmentlogs, insurance forms, job start-up forms, Manifests, job history Lists, and interaction with the administrative assistants who handle all contact with subcontractors and clients, etc.
  • Maintain all insurance certificates for all projects and log as follows
  • Non-Job specific insurance will be maintained on an A-Z Excel Insurance Log
  • Job specific insurance will be entered into Contract Manager and copies given to the appropriate Administrative Assistant.
  • Send out Procores email notification to all administrative assistants each morning. Assist administrative assistants in sending out requests for updated insurance certificates, if requested by the administrator.
  • Maintain the projects listing, 1965 to Present as job start up sheets are issued to the front desk.
  • Do not page employees for non-urgent or extremely urgent/important phone calls.

JOB QUALIFICATIONS:

  • Excellent verbal and written communication skills
  • Excellent interpersonal skills with the ability manage sensitive and confidential situations with tact, professionalism and diplomacy
  • Excellent organization skills and attention to detail
  • Proficient with MS Suite or related software
  • Proficient with or the ability to quickly lea n payroll software, human resource information systems and similar computer applications
