GENERAL DESCRIPTIONThe Criminal Investigations Division of the Office of the Attorney General (OAG) is seeking an Administrative Assistant that provides highly complex administrative support for the Child Exploitation Unit. Work involves disseminating information, maintaining filing systems, data entry, and administrative support work. Works under limited supervision with moderate latitude for the use of initiative and independent judgment. The OAG is a dynamic state agency with over 4,000 employees throughout the State of Texas. ESSENTIAL POSITION FUNCTIONS Prepares, edits, and distributes correspondence, reports, statistical data, calls for service, spreadsheets and documents Performs general office duties such as filing and maintaining a filing system, answering and routing phone/ e-mails, answers and routes calls, greets guests, routing and sorting unit mail, and ordering and maintaining office supplies Prepares mailouts for unit employees Coordinates meetings and prepares related materials. Compiles and edits data for charts, graphs, and databases, and prepares summaries or reports. Manages and maintains schedules and travel arrangements for unit staff. May prepare and compile presentation and statistical materials. Opens and closes cases for unit staff. Assists with unit monthly inventory reporting. Verifies location of equipment, tracks inventory information, prepares forms, completes spreadsheets, submits monthly/ annual paperwork, and maintains files within the unit. Prepares Public Information Act (PIA) requests and processes Cyber Tips for Child Exploitation Unit. Prepares detailed reports to The National Center for Missing Exploited Children (NCMEC), CID (Criminal Investigations Division) division management, Grants Administration, and State and Federal Agencies as relating the Child Exploitation Unit. Assists division management as needed with special projects. Performs related work as assigned Maintains relevant knowledge necessary to perform essential job functions Attends work regularly in compliance with agreed-upon work schedule Ensures security and confidentiality of sensitive and/or protected information Complies with all agency policies and procedures, including those pertaining to ethics and integrity Qualifications: MINIMUM QUALIFICATIONS Education: Graduation from high school or equivalent Experience: Four years of full-time administrative support, clerical, customer service, general office, or secretarial (or closely related) experience working with law enforcement or criminal justice; may substitute bachelors degree from an accredited college or university for the required experience on a year for year basis Knowledge of office practices and administrative procedures Knowledge of the criminal justice system Skill in using Microsoft Office Skill in handling multiple tasks, prioritizing, and meeting deadlines Skill in effective oral and written communication Skill in exercising sound judgment and effective decision making Ability to receive and respond positively to constructive feedback Ability to work cooperatively with others in a professional office environment Ability to provide excellent customer service Ability to receive and respond positively to constructive feedback Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave) Ability to arrange for personal transportation for business-related travel Ability to work more than 40 hours as needed and in compliance with the FLSA Ability to lift and relocate 30 lbs. independently Ability to pass an extensive background check Licensure: Must possess a valid drivers license. Ability to travel (including overnight travel) up to 5% PREFERRED QUALIFICATIONS Education: Bachelors degree from an accredited college or university with Criminal Justice or Law Enforcement background Experience: Communicating with investigators and personnel from local, state, and federal law enforcement agencies Knowledge: Salesforce timekeeping, Case Management Systems, LCMS system, Crimestar, OAG policies and procedures, and Salesforce Travel System Ability to work with multiple Criminal Justice Organizations Certifications: Notary Public, TCIC/NCIC certification, CJIS certification Other Language: Ability to proficiently read, write, and speak Spanish TO APPLYTo apply for a job with the OAG, electronic applications can be submitted through CAPPS Recruit.
