GENERAL DESCRIPTIONThe Crime Victim Services division is seeking Administrative Assistant to administrative support and technical program work for the Payment Operations Section in the Crime Victim Services Division of the Office of the Attorney General. Work involves answering a multi-line phone, disseminating information, maintaining filing systems, and performing internal administrative support work. This position may be eligible for telework up to three days per week once trained. Employees must have a secure, dedicated workspace with Internet service, ability to maintain a reliable consistent work schedule, and be available for weekly meetings and group collaboration via Microsoft Teams and other applications during regular business hours. Flexible work arrangements, to include flexible work schedules and/or telework, may be considered relative to business need after training. ESSENTIAL POSITION FUNCTIONS Reviews incoming medical documents ensuring the forms are complete and accurate for compliance with agency policies and procedures and with state and federal statutes Prepares written requests and performs any necessary follow-up procedures for information requests from medical providers and crime victims Performs intake data entry and verification of incoming medical bills into the claims management system Answers a multi-line phone and utilizes the claims management system to respond to routine and special inquiries from medical providers regarding claim and payment status Prepares and distributes routine and special correspondence, reports, forms, and documents Responds to routine and special inquiries from providers and crime victims regarding claim status and provides payment status Performs complex typing, including obtaining and transcribing technical and high-volume dictation Performs related work as assigned Maintains relevant knowledge necessary to perform essential job functions Attends work regularly in compliance with agreed-upon work schedule Ensures security and confidentiality of sensitive and/or protected information Complies with all agency policies and procedures, including those pertaining to ethics and integrity Qualifications: MINIMUM QUALIFICATIONS Education: Graduation from high school or equivalent Experience: Two years of full-time experience working in the following (or closely related) fields: administrative support, customer service, clerical, general office experience; may substitute sixty hours from an accredited college or university Knowledge of office practices and administrative procedures Skill in using a computer for word-processing and data entry/retrieval Skill in handling multiple tasks, prioritizing, and meeting deadlines Skill in effective oral and written communication Skill in exercising sound judgment and effective decision making Ability to handle stressful situations Ability to receive and respond positively to constructive feedback Ability to work cooperatively with others in a professional office environment Ability to provide excellent customer service Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG workspace within OAG work location, and perform in-person work ith coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave) Ability to obtain and maintain a valid drivers license Ability to arrange for personal transportation for business-related travel Ability to work more than 40 hours as needed and in compliance with the FLSA Ability to lift and relocate 30 lbs.
