The Texas General Land Office primarily serves the schoolchildren, veterans, and the environment of Texas. The agency does so by preserving our history, maximizing state revenue through innovative administration, and through the prudent stewardship of state lands and natural resources. This position is with our Oil Spill Prevention and Response program area. Performs highly complex (senior-level) administrative support work. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment; may occasionally receive instruction or assistance as new, unusual, or unique situations arise and assist others in performing higher-level work. Optional Benefits such as dental, vision, and life insurance Minimum of 96+ Hours of Annual Leave a year **Annual leave increases with length of service Essential Job Elements Manages and maintains schedules and travel arrangements for Deputy Director and Austin staff. Manages and maintains Outlook calendars for Deputy Director and Oil Spill Conference room. Tracks action items for the Deputy Director and/or Austin staff. Performs technical support work by tracking expenditures, processing procurement requisitions, invoices, and travel expenses. Assists in the compilation of budget and Legislative Budget Board (LBB) reporting information regarding administration of the Oil Spill office, including travel records, timekeeping, purchasing, and status of incidental reports. Qualifications: MinimumQualifications Graduation from an accredited college or university and two years of full time administrative experience; may substitute full-time administrative experience providing customer service for required education on a year for year basis. Experience with Microsoft Office suite (Excel, Word, Outlook). Preferred Qualifications Experience of the Incident Command System (ICS) for emergency management (ICS-100 certification or ICS-200 certification preferred). Experience tracking, processing, and/or reporting expenditures, requisitions, invoices and travel expenses. CAPPS Financials experience preferred. Experience working in a customer service-oriented position dealing with both internal and external customers. Experience answering, screening, and routing incoming phone calls. Experience in creating and/or maintaining filing systems for both physical and electronic documents. Experience in preparing and proofreading documents. Knowledge, Skills, and Abilities Knowledge of office practice, administrative procedures, and clerical administration. Skill in the use of personal computers with proficiency in Microsoft Office suite; in the use of standard office equipment (e.g. fax, copier, scanner); in preparing and maintaining accurate records, reports, documents, and correspondence; and in prioritizing, scheduling, and managing multiple projects and deadlines. Ability to communicate effectively both verbally and in writing, strong attention to detail and organization. Ability to implement administrative procedure : to interpret rules, regulations, policies, and procedures. Physical Requirements This position requires the employee to primarily perform sedentary office work; however, mobility (moving around the work-site) is routinely required to carry out some duties. This position requires extensive computer, telephone and client/ customer contact and communication. It requires the ability to move and position oneself as needed for filing and similar routine office duties. The job also requires normal cognitive abilities requiring the ability to learn, recall, and apply certain practices and policies. It requires the stamina to maintain attention to detail despite interruptions. Ability to read printed materials and computer screens. The individual must be able to move and transport records, documents, boxes, and all related information and materials, weighing up to 20 pounds when required.
