Robert Half Construction Administrator in Austin, Texas

Description We are in search of a Construction Administrator to be an integral part of our team in Austin, Texas. This role will primarily involve offering administrative support within the construction industry. The position will require the ability to handle incoming and outgoing correspondence, maintain both physical and digital files, and assist with project coordination.

Responsibilities:

• Offer administrative support for various projects and committees.

• Handle both outgoing and incoming correspondence, ensuring appropriate distribution, filing, and follow-ups.

• Establish and manage One-Drive Links for all approved major renovation projects, sharing necessary information with all relevant parties.

• Create and maintain project files, ensuring both physical and electronic files are organized and easily accessible.

• Provide support for team members on the move, especially with information access.

• Transfer property files of sold properties to appropriate storage drives and locations.

• Assist project coordinators with updating the status of ongoing projects.

• Track and obtain Certificates of Insurance (COI).

• Perform various clerical duties as assigned.

• Attend meetings to take professional notes, process information, and distribute meeting minutes to all involved in a timely manner.

• Coordinate department meeting space, ensuring availability and making adjustments as needed.

• Regularly update contact lists as received. Requirements

• A minimum of 3 years of experience in a Construction Administrator role or similar.

• Proficiency in Accounts Payable (AP) and Accounts Receivable (AR).

• Experience with Account Reconciliation.

• Demonstrated skills in Billing and Invoice Processing.

• Proficient in Data Entry.

• Working knowledge of Microsoft Excel..

• Must be able to work collaboratively in a team environment.

• Excellent communication skills, both verbal and written.

• Strong organizational skills and attention to detail.

• Ability to work under pressure and meet deadlines.

• Problem-solving skills and the ability to handle multiple tasks simultaneously.
