UNIVERSITY OF TEXAS AT AUSTIN Administrative Program Coordinator in Austin, Texas

The Administrative Program Coordinator will work closely with PJILs Director and Associate Director as well as The LBJ Schools Business Office and Communications, Marketing, and Events Office to:Provide a high level of administrative support for PJILs projects, events, activities. Help plan conferences, film screenings, book talks, and other convenings that PJIL hosts.Provide excellent customer service support to vendors, participants, speakers, students, and other relevant stakeholders. Coordinate communications regarding event logistics and help participants, speakers, and vendors complete required forms and paperwork.Coordinate communications with UT and LBJ School departments regarding facility and room reservations, furniture and other equipment, A/V and IT, payment processes, print materials, supplies, catering, and event promotion.Coordinate logistics for off-site conferences, site visits, and other meetings that PJIL staff organize or attend throughout the year. Process travel requests, reservations, reimbursements, and other relevant forms and paperwork.Support PJILs fundraising campaigns by drafting emails to our mailing list, managing our mailing list, and developing a database to track individual donors.Provide graphic design support, as needed, and support efforts to update and edit PJILs website.Coordinate PJIL volunteers and update PJILs volunteer list.Attend regular team meetings and meetings with the directors and other administrative staff. Coordinate relevant meeting logistics, as needed. Take detailed notes at meetings, as needed, and distribute to staff.Conduct other writing and administrative tasks as mutually agreed upon with PJILs directors.Other duties as assigned.
