Join a dedicated team of professionals in a rewarding civil service career as an Office Specialist II with the Maine Bureau of Emergency Medical Services (EMS). Maine EMS is a bureau located within the Department of Public Safety. The Maine EMS system includes the Board of EMS, Maine EMS staff, the Medical Direction and Practice Board, and committees of the Board of EMS. You will provide advanced administrative support to the bureau with knowledge of office processes and diverse administrative functions. Responsibilities require independent judgment, initiative, and decision-making on complex administrative matters.

Primary responsibilities include:

  • Complies with the requirements of State policies, including those concerning human resource components of security protocols of agency information security and confidentiality policies for state business purposes.

  • Independently compose, review, edit, and/or approve correspondence.

  • Coordinate accounting and general operating activities; assemble financial statements, evaluate work operations, and procure supplies.

  • Research federal grant programs, prepare applications, interpret and administer program requirements, and prepare financial statements and expenditure reports.

  • Recommend capital expenditures and disbursements for grant funds.

  • Develop and recommend new work methods and administrative policies/procedures to improve existing work practices.

  • Attend board/committee meetings to provide secretarial services .

Minimum qualifications:

Training, education, or experience in administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks at the statewide level that are broad in scope or functionally diverse, and 2) the ability to use independent judgment, initiative, and decision making on complex administrative matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I, Office Associate II and Office Specialist I.

Preference will be given to those applicants:

  • Recent experience or education in bookkeeping/accounting practices.

  • Recent experience with AdvantageMe.

  • Experience with on-line ordering.

  • Experience with travel planning.
