Description

We are offering an exciting opportunity for an Administrative Assistant I in Auburn, Maine. This role will primarily involve providing administrative support for service teams, managing incoming calls, and maintaining office organization. Additionally, you will be expected to work within various applications to ensure that administrative tasks are completed promptly.

Responsibilities:

• Manage incoming calls and direct them to the appropriate department within the service teams.

• Assist in establishing daily work routines based on key deliverables and the daily agenda.

• Perform general administrative tasks for the assigned service department and handle client-related tasks within internal systems.

• Handle sensitive client and employee personal or financial data with utmost discretion and professionalism.

• Participate in additional projects and tasks as required to support the team and the organization.

• Liaise with external financial institutions to update crucial data on customer accounts.

• Provide in-office support as needed, including receiving packages, coordinating with vendors, and maintaining office cleanliness.

• Ensure that you are available for clients to transfer incoming calls to the corresponding department associate.

• Utilize various applications, including Client Space, Prism, and SharePoint, to complete administrative tasks for the promptly.

Requirements

• Excellent communication skills, both verbal and written

• Familiarity with office procedures and policies

• Experience in handling inbound and outbound calls

• Proficiency in time management and prioritization

• Ability to interact effectively with vendors

• Proficient in using spreadsheets and Microsoft Office Suites

• Experience in customer account management

• Strong computer skills

• Experience in organizing and managing agenda items

• A creative mindset with a focus on innovation

• Experience in directing incoming calls

• Knowledge of SharePoint Administration

• Experience working with financial institutions

• Ability to handle key deliverables

• Proficiency in using PRISM

• Experience in handling financial data
