The Senior Medical Leave and Support Services Specialist administers the Bank’s policies and procedures in support of employee’s health and well-being by providing case management during illness and disability. This includes administration of medical leave requests and workplace accommodations including short-term and long-term disability, Family and Medical Leave (FMLA), Workers’ Compensation, paid parental leave and any additional company leave policies. This role will partner with employees, managers, HR Business Partners, Payroll, and our Third-Party Administrator to ensure proper handling of the processes and procedures.

We are a dynamic hybrid workplace environment that requires at least 2 days a week in the office.

Key Responsibilities:

  • Administers the Bank's medical leave, Worker’s Compensation, Long-term Disability, and workplace accommodation programs.

  • Advises Sixth District management on these programs and related policies and procedures to ensure compliance with contract provisions and performance standards.

  • Manages leave management projects. Provides support to District staff at all levels regarding Human Resources and medical leave and disability support.

  • Works closely with Legal staff to ensure compliance with federal regulations such as ADA and FMLA. Coordinates recommendations on legal settlements.

  • Coordinates data collection for worker’s compensation vendor (data on job types and employment and payroll statistics). Communicates with the Office of Employee Benefits (OEB) to resolve problems and ensures effective communication and operational cooperation.

  • Collaborates with Safety Director in support of workplace safety initiatives.

  • Maintains the OSHA injury log and complies with all OSHA and state reporting mandates.

  • Identifies and implements process and technology improvements to maximize operational effectiveness.

  • Provides on going training and support to managers on regulations, laws, and policies related to leave management.

Qualifications:

  • Bachelor’s Degree or five years equivalent experience preferred; Bachelor’s degree preferred

  • Human Resources experience; ability to operate within HCM systems (Workday)

  • Proficient in Microsoft Office Suite Tools (Word, Excel, PowerPoint)

  • Preserves confidentiality of employee medical documentation and files with an understanding of HIPAA requirements

  • Knowledge of STD, LTD and Leaves of Absence

  • Knowledge of FMLA laws

  • Experience with Workers’ Compensation claims including injury reports to the WC vendor on a timely basis. Maintains the WC and OSHA logs and completes the annual filings.

  • Strong analytical skills with experience in conducting root cause analysis and driving process improvements.

  • Excellent customer service and communication skills with an ability to answer questions tactfully and resolve difficult situations with team members and leaders.

  • Demonstrated organizational skills including the ability to prioritize workload, balance conflicting priorities, and attention to detail.
