    Location: Corporate office, Smyrna

    Work Schedule: Monday – Friday; 8:00am – 5:00pm (t elecommuting is available for up to three days per week following the completion of the 90-day introductory period)

    Your Impactful Role

Under the direction of the Executive Director of Administration in partnership with the PI dept., the Medical Records Technician PI ROI Specialist maintains the medical records/bills for clients and provides copies of said records/ bills for PO patients/clients per State and Federal Regulations. He/she maintains and organizes the medical records/bills per professional standards of practice and facility policy and procedures.  He/she is the client liaison between the Medical Records/Personal Injury/AA departments.  The PI Medical Records Specialist also works in the PI department part-time scheduling and performing case management tasks.

Performs advanced Med Rec tasks for the Personal Injury and Admin departments:

  • Serves as the departmental liaison to improve client customer service, effective communications, and improved operations for the Medical Records/ Personal Injury/AA departments. 

  • Serves as the point of contact for clients/affiliates for all patient records and billing needs.

  • Will assist the PI dept (and affiliates) with obtaining previous patient records/imaging/bills as needed.

  • Completes advanced client/departmental data assessments, generates data reports & analysis on a weekly/monthly basis.

  • Partners with PI/Admin/Marketing opeartations leadership to quickly address, research, and resolve client needs.

  • Serves as a “Super User” for all core software programs: Athena, ProviderFlow, Monday.com, Excel/Power-Bi, etc.

  • Serves as a Certified Department Trainer of new hires and assists with the cross training of Admin staff concerning client customer service, effective communication, business retention.

  • Fully trained in all Personal Injury Dept. processes: Scheduling, case management, client related operations, and business retention.

  • Fully trained in all client-related AA department processes: Prepaid/OS Scheduling, payment reconciliation/tracking, client related operations, and business retention.

  • Demonstrates a courteous, friendly, and professional demeanor while answering and routing phone calls.

  • Maintains area of special assignment.

  • Other duties as assigned.

    Completes all daily Med Rec functions as assigned  (When coverage is needed.):

  • Mail room: Processes and distributes all incoming and outgoing mail for the company.

  • Ensures that all medical records are accurately received, verified, and uploaded into the electronic medical record system.

  • Processes medical record requests received from attorneys, patients, insurance companies, physicians, clinics, hospitals, etc.

  • Answers all incoming calls.

  • Responds to all emails.

  • Requests offsite medical records and x-rays from the storage company.

  • Covers for the courier when needed.

    Supervisory Responsibilities

    This role serves as the Account Supervisor for client operations/customer service/retention.

Qualifications

  • High school diploma or general education degree (GED). 

  • One year of customer service experience in a high-volume, multi-unit medical practice.

  • Effective communication skills in one-on-one and small group settings.

  • Skills to sort and file materials correctly using alphabetic and numeric systems.

  • Knowledge of MS Word and an Electronic Medical Record system (Athena).

  • Problem-solving abilities and adaptability in non-standardized situations.

  • Strong customer service and teamwork skills.

  • Knowledgeable in basic clinical functions, administrative practices, and operational procedures in a medical setting.
