Description

As the first point of contact for student visitors to the registrar’s office at Emory Law, the Administrative Assistant is responsible for clearly providing information to students in a helpful, professional manner. The position maintains electronic and paper files that comply with accreditation standards and manages communications with outside entities such as state bar associations.

Job Description:

  • Provide administrative support for the registrar’s office or other areas as assigned.

  • Maintain confidentiality and accuracy of student records

  • Ensure registrar’s office activities comply with Emory policies and procedures.

  • Respond to incoming telephone calls and monitor the shared email inbox.

  • Maintain calendars and prioritize meeting requests for registrar’s office.

  • Review incoming correspondence and identify items of special interest to the registrar’s office; handle routine correspondence and prepare appropriate responses.

  • Complete forms, applications, and/or correspondence associated with the office.

  • Prepare charts and graphs for reports and presentations.

  • Create and edit programmatic or other reports associated with the registrar’s office and the school of law.

  • Schedule meetings and handle logistics for meetings and special events such as registration, mid-term and final exams.

  • Prepare materials for meetings and special events.

  • Initiate, process, and maintain records and invoices.

  • May monitor or maintain budgets and grants, assist with budget development, and prepare related expense reports and reimbursements which requires appraising management of account status, identifying cost-effective solutions and authorizing expenditures.

  • Plan and coordinate travel arrangements for registrar’s office as assigned.

  • Maintain databases and spreadsheets; may also analyze data and design/generate associated reports.

  • Establish and organize filing systems—both paper and electronic.

  • Oversee ordering and maintenance of office supplies.

  • May supervise or direct the work of support staff and/or students.

  • Perform related responsibilities as required.

Minimum Qualifications:

  • Bachelors degree or equivalency of a high school diploma and five years of administrative experience.

  • Proficiency with Microsoft Office including Outlook, PowerPoint, and Excel.

  • Experience with collaborations tools (OneDrive, Zoom, Teams, and/or others).

Preferred Qualifications:

  • Experience in a forward-facing support position

  • Ability to work with frequent interruptions

  • Experience in higher education, specifically with detailed record keeping

  • Demonstrated student-centered service

  • Ability to maintain strict confidentiality and accuracy of records

  • Strong attention to detail, demonstrated capacity for carrying out tasks in an accurate and timely manner

  • Ability to recognize and set priorities

  • Ability to master new skills quickly

  • Strong decision making and problem-solving skills

  • Strong technology skills and demonstrated proficiency with computers and standard office, programs such as the MS Office Suite, especially Excel

Workplace Flexibility:

This position is an in-person position during the academic year with core hours of 8 a.m. to 5 p.m. After a full semester of employment, the position is eligible for flexible work arrangements available to Emory Law employees.
