Ohio University Research Grant Development Coordinator in Athens, Ohio
Job Description:
This position serves as a key resource for faculty and staff, providing comprehensive support for the development, submission, and management of external and internal grant funding proposals. It ensures compliance with relevant guidelines and maintains adherence to College and Ohio University budget standards. The position supports post-award project management, budget monitoring, revisions, and communication with funding sponsors, while also assisting in the identification and pursuit of new grant funding opportunities. The position also ensures clear, consistent, and timely communication around grant-related activities between and among faculty, project teams, and the Dean’s Office.
Pre-Award Responsibilities: Coordinate the development of grant proposals among Patton College faculty, staff, and external entities. Support the development of budgets and budget justifications. Prepare grant-required materials, formatting, and forms using funder systems and LEO /Cayuse. Assist with non-content-specific narrative development and proofreading (e.g., infrastructure, institutional data) with sufficient lead time. Aid in the preparation of institutional documents, such as cost-sharing agreements and letters of support/commitment. Liaise with the Office of Research and Sponsored Programs ( ORSP ), the College Chief Financial Officer ( CFAO ), the Associate Dean for Research & Graduate Studies, Department Chairs, and staff who manage and support grants. Review proposals to ensure compliance with university and funder guidelines. Initiate and manage the proposal transmittal development and routing process. Support the submission of grant proposals. Facilitate the development of departmental guarantee memos for budget-related expenditures prior to grant awards when appropriate.
Post-Award Responsibilities: Manage and revise project budgets as needed. Assist in the development of progress and final reports, particularly with respect to financials. Respond to inquiries from project funders. Coordinate processes for hiring, purchasing, and contracts associated with awarded grants. Send monthly budget account updates to project teams. Periodically meet with project teams to discuss budgets, expenditures, and associated project activities. Provide post-award support for creating summer contracts and research contracts. Act as a liaison between grantees and the Finance Office/Office of the Controller/Grants & Contracts Accounting Department regarding effort compliance.
Ongoing Responsibilities: Identify, investigate, and prioritize opportunities for external funding sources, including competitive programs, cooperative endeavors, and contracted work with local, state, federal, and private agencies and school districts. Share funding opportunities with faculty and provide support for pursuing them. Facilitate professional development activities related to grant development within the College. Periodically meet with faculty to learn about their research interests and help them navigate funding processes. Maintain a database of grant awards and external contracts, tracking their status from submission through completion. Periodically review internal PCOE grant-related processes to identify areas for improvement and increase efficiency.
The successful candidate must possess:
Strong project management and problem-solving skills
Analytical skills are necessary to interpret research policies and agency guidelines, assisting faculty and staff in the preparation of competitive grant proposals
Proficiency in using commercial software for word processing, graphics, budgeting, project management, and specialized grant proposal applications
Strong verbal and written communication skills to clearly convey ideas, collaborate effectively across teams, and professionally engage with others
Exceptional writing, composition, copy-editing, and proofreading abilities
Minimum Qualifications:
Bachelor’s Degree in Finance, Accounting, Education, Science fields
Minimum of 3 years Experience
Minimum of 3 years management experience
An equivalent combination of education and experience will also be considered.
Preferred Qualifications:
Solid understanding of federal, state, and local grant regulations, circulars, guidelines, and contract policies
knowledge of all aspects of grant processes, including proposal preparation and submission, negotiation and award procedures, as well as post-award management and closeout
