Pac Arctic, LLC, a Koniag Government Services company , is seeking a Support Services Administrative Specialist with a Secret Clearance to support PAC and our government customer in Arlington, VA.

Essential Functions, Responsibilities & Duties may include, but are not limited to:

  • Performs a wide variety of office administrative, secretarial, and programmatic support functions as general secretary to include routing incoming mail, receiving all incoming phone calls, meeting, greeting and escorting visitors, determining nature of visits and directing visitors to appropriate persons.

  • Contacts or responds to contact from high-ranking officials within or outside the Department, members of Congress, and private organizations—some of which may be working internationally or be in unique situations or relatively inaccessible, with each contact must be handled differently, using judgment and discretion.

  • Handles differing situations and problems in the office according to general instructions, priorities, duties, policies, and program goals.

  • Assists with scheduling meetings, booking space and other support related to preparing for and facilitating meetings, events, individual workspace hoteling, and other engagements.

  • Coordinate with other Executive Office supporting entities such as Information Technology and Administrative Operations.

  • Interfaces with OIG offices and high-level personnel.

  • Assists by driving the OIG vehicle when requested to transport personnel or materials for official government business.

  • Addresses and solves program office clerical issues.

  • Provides access control oversight to the office suite.

  • Performs office security check each evening prior to departure.

  • Escorts cleaning staff and other individuals, as requested, throughout the suite daily.

  • Supports OIG Occupant Emergency Plan roles as assigned.

  • Submits help desk support tickets for various technology, facility, and administrative needs.

  • Sorts, organizes, scans, logs and delivers all incoming office mail daily.

  • Routes incoming mail, answers correspondence, and prepares outgoing mail.

  • Maintains a professional office suite environment to include, but not limited to, the workroom, pantry, internal meeting spaces.

  • Tidies workspace and/or arranges for housekeeping services when needed.

  • Copy, fax, scan, print, prepare for distribution as required.

  • Develops and maintains electronic filing systems.

  • Orders supplies, maintains, and stocks inventory.

  • Serves as the office timekeeper for federal employees as assigned.

  • Maintains time and leave records accurately using Department of State systems.

  • Keeps the staff informed of important matters that require their attention.

Work Experience, Knowledge, Skills & Abilities:

  • Must have SECRET Level Clearance.

  • Must have at least 12 months experience, education, or training:

  • Demonstrating strong skills as an administrative assistant with the ability to handle differing situations, problems, and deviations in the work of the office.

  • Planning the sequence of actions necessary to accomplish an assignment that entails coordination with others outside the organizational unit and development of project controls.

  • Adapting guidelines or precedents to meet the needs of the assignment.

  • Preparing documentation summarizing the material and organizing it in a logical fashion.

  • Has comprehensive knowledge of and ability to use Microsoft Word, Excel Dashboards and Tables.

  • Has a working knowledge of SharePoint.

  • Licensed to drive a vehicle and, if requested, able to provide driving record.

  • Ability to:

  • Work well with others and possess interpersonal skills necessary for interfacing with high-level contacts in a professional manner.

  • Work under pressure with frequent interruptions and constant public contact by phone or in person.

  • Learn and apply an understanding of the organization’s functional policies, processes, and goals, and plan and organize work to meet the changing priorities and deadlines.

  • Understand and carry out oral and written directions and to communicate clearly and concisely, both written and orally, which includes composing detailed and timely oriented correspondence when needed.

Working Environment & Conditions

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand, walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress.

The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
