Amazon Off Campus Productions Producer, ITS Event Productions Off Campus in Arlington, Virginia

As the Off Campus Productions Event Producer, you will provide customer-centric event production services and overall event support at the highest level possible, serving a diverse set of Amazonian customers. The Off-Campus team is an Amazon Event Production team that brings critical production resources and services to companywide events. As the Event Producer, you will manage incoming event requests and full-cycle planning of both off campus and on campus customer events. You are the primary point of contact to serve the customer, responsible for planning, and show calling, collaboratively accountable for onsite operations, live event operations and post-production requirements. You step seamlessly into a corporate events environment, have strong organizational skills, ability to work across multiple teams and cultures, demonstrate impeccable customer service, and are energetically driven to meet the needs of customers and the team.

Key job responsibilities

• Act as primary POC for team, customers, organizers, production engineers, livestream technicians, and third-party production providers and over hire labor.

• Lead customer meetings, and direct crew onsite for set days, rehearsals, event day(s), through strike and load out operations.

• Manage meetings effectively; provide supporting documentation and align stakeholders.

• Maintain multiple operations calendars and databases.

• Improve efficiencies, and work to optimize standard processes.

• Coordinate and improve project-related data and reporting.

• Identify blockers, troubleshoot effectively, and facilitate progress.

• Seek opportunities to help others improve skillsets and knowledge base.

• Manage Team Goals, and programmatic initiatives, with increased ambiguity.

• Travel to support events globally.

Pre-Event Discovery & Planning:

• Collaborate cross-team to assess and approve incoming event requests with Producer(s) and Booking Team.

• Attend Discovery Calls and Planning Meetings with customer(s) and team, to understand the customer’s vision.

• Manage multiple scheduling and operational calendars, to ensure planning efforts.

• Manage and maintain prompt, thorough, professional communication with all team members, customers, and business partners throughout all phases of the event.

Pre-event Production:

• Lead Planning Meetings with customers and team to confirm final event details.

• Provide production guidance to customers and team.

• Lead scheduling of production resources, services, and any post-production requests.

• Work on behalf of the customer to facilitate:

o Third party labor requests and equipment rentals

o Communication with facility partners; Security, Housekeeping, Catering

o Partner with internal team to ensure charge back

• Prepare event show flow and distribute to internal teams.

• Manage technical testing or technical rehearsals.

• Support media playback and presentation.

• Clearly communicate with all team members and stakeholders.

• Coordinate personal travel arrangements, schedules, and expenses.

Production:

• Act as dedicated onsite POC for customers and organizers, including production team and third-party vendors.

• Lead event day show flow, and act as producer show caller, or stage manager, calling the show through comm systems to the technical team.

• Provide direction of relevant facility operations.

• Lead onsite production engineers and over-hire labor through load in, pre-show operations, post-show wrap up and load out.

• Partner with the Systems Engineer to manage technical needs.

• Dynamically flex to customer needs and complications, and escalate appropriately.

Post-event Production:

• Oversee and manage proper strike of event venue.

• Manage post-event reporting.

• Manage post-event customer needs and meetings.

• Manage post-event expenditures.

• Provide key metrics and data to team and management.

Basic Qualifications

  • 3+ years of program or project management experience

  • Experience using data and metrics to determine and drive improvements

  • Experience working cross functionally with tech and non-tech teams

  • 3+ years of experience on-site live event production or event management and calling a show

  • 2+ years experience leading teams of (2-12 people)

  • 2+ years project management and organizational skills

  • 2+ years knowledge of Microsoft Office Suite, event planning platforms and calendaring systems

  • Bar-Raising verbal and written documentation

  • Able to clearly communicate and collaborate with team members and customers in a corporate environment

  • Demonstrated ability to maintain and manage complex calendaring systems and databases

  • Proficiency with audio, video, lighting and staging systems, including livestream operations

  • Scheduling and calendaring management

  • Familiar will event billing processes

  • Desire to travel

Preferred Qualifications

  • Experience with network systems and virtual event operations

  • 50% availability to travel

  • Strong desire to learn new technologies and systems

  • Strong analytical skills, detail oriented, and demonstrated ability to improve processes

  • Able to step in to stage management and/or backstage management as needed

  • Experience opening new event venues, studios, or production related services
