Job Description

The ideal candidate will have extensive experience in managing projects, particularly those involving mailroom scanning operations. This role requires exceptional organizational, communication, and leadership skills to ensure the successful delivery of project objectives within time and budget constraints.

Key Responsibilities:

Project Planning and Execution: Develop comprehensive project plans outlining scope, goals, deliverables, required resources, budget, and timelines. Coordinate and manage project tasks, milestones, and deliverables. Ensure all project activities align with the IRS's strategic objectives and regulatory requirements.

Mailroom Quality Control Operations:

 Oversee the quality control of the mailroom scanning processes, ensuring all operations meet established standards.

 Implement and maintain best practices for document handling procedures.

 Manually review and correct documents that are flagged with errors, ensuring all data is accurate and compliant with IRS standards.

 Identify areas for improvement within the quality control processes and implement effective solutions:

 Collaborate with the mailroom team to ensure smooth operations and timely processing of all documents.

 Ensure mailroom quality operations comply with IRS standards and regulations.

Stakeholder Management: Serve as the primary point of contact for all project stakeholders, including IRS representatives, internal teams, and third-party vendors. Facilitate regular status meetings and provide clear, consistent updates on project progress.

Risk and Resource Management: Identify potential project risks and develop mitigation strategies. Monitor and report on project risks and issues, implementing corrective actions as necessary. Allocate resources effectively to meet project demands.

Quality Assurance: Ensure all project deliverables meet quality standards and IRS requirements. Conduct regular quality checks and audits on mailroom scanning operations.

Documentation and Reporting: Maintain comprehensive project documentation, including project plans, status reports, and meeting minutes. Prepare and deliver detailed project reports to stakeholders and senior management.

Required Qualifications:

 BS in Information Technology, Business Administration, or a related field.

 Minimum of 3 years of mailroom operation, preferably in a government setting.

 Proven track record of managing complex projects within government or large-scale organizations.

 Strong understanding of mailroom scanning technologies and processes.

 Exceptional organizational and multitasking abilities.

 Excellent communication and interpersonal skills.

 Proficiency in project management tools (e.g., MS Project, MS Office).

 Project Management Professional (PMP) certification or equivalent is preferred.

The pay for this position ranges from $35-43/hr with a conversion salary of $75-90k depending on years of experience.
